Must-Have Skills:
2-4+ years of administrative experience in a support role assisting other team members (preferably within a construction environment)
Ability to anticipate team needs and work proactively to complete required tasks
Conceptual and analytical abilities to understand the construction project lifecycle (planning, design, drafting, cost estimating, construction, etc.)
Technical Skills:
Data entry skills requiring extreme attention to detail
Computer skills and ability to navigate software applications to retrieve information
Proficient with Outlook, Excel/Spreadsheets, Word, PowerPoint, etc.
Documentation skills
Organization and time management skills; Ability to prioritize work and manage time-sensitive tasks in a fast-paced, high-volume work environment
Problem-solving skills and ability to investigate information
Exceptional communication and follow-up skills
Ability to work independently and in a team environment
High School Diploma or GED equivalent required
Nice-to-Have Skills:
Experience working within a construction environment
Experience using Smartsheet
College degree or college level courses desirable
Project Details: The District Office is responsible for managing the coordination of construction service orders from inception to construction completion for new gas and electric service installations, remodels, upgrades, relocations, and removals of facilities. Within the team, there are Service Planners who are responsible for planning, designing, and overseeing the service order requests through project completion. The primary purpose of this position is to work alongside the Planners, performing administrative duties in support of this work. This will include performing data entry of project information provided by the Planners, as well as producing job packages for gas and electric work orders based on information provided by the Planners.
Responsibilities:
Performs advanced and highly complex administrative/clerical functions in support of 2 primary Service Planners on the team
Works in a fast-paced, high-volume work environment
Performs data entry of project information/service orders in SAP
Pulls maps from internal system relevant to the service order
Prepares fielding packets for Planners, which will include printing the fielding packets, attaching the appropriate maps to the packet, and attaching all other associated files that are necessary for the Planner's reference
Produces job packages for gas and electric work orders based on information provided by the Planners
Assist with research and submission of permit and/or environmental requests
Prepares process flow maps, spreadsheets, word processing documents, presentations, and other correspondence
Reviews documentation for accuracy and completeness
Takes appropriate action to gather additional information as needed
Anticipates needs and works proactively to complete required tasks
Works independently, as well as with various teams and plans or schedules own work
Meets important deadlines, responds to requests within the desired time frames, and communicates in advance problems that may prohibit meeting schedules
Maintains records and reconciles report data
Assists Manager, Planners, and other team members as needed
Performs other duties as assigned
