Job Summary

Student Engagement is a department within the Division of Student Affairs consisting of the following areas: Spirit & Traditions, Student Governance, Student Organization Development & Administration (SODA), Student Organization Finance Center (SOFC), and Student Sustainability. The Accounting Assistant serves on the Student Organization Finance Center (SOFC) team. The position will provide financial coordination support for all student organizations at Illinois.



Duties & Responsibilities



Student Org Administration


  • Review and process of Student Organizations Purchase Requests, including student organization compliance reviews.

  • Facilitate basic P-card and T-card purchases for student organizations, such as goods, services, and travel.

  • Process reimbursements and vendor invoice payments for student organizations.

  • Assist with maintaining the SOFC email account by assigning tasks, answering, investigating, and/or transferring inquiries.

  • Resolve accounting issues and communicate with the student organization, students, faculty, and staff.

  • Initiate Purchase Orders with University Payables and complete journal voucher payments within Banner system, track lost checks, initiate stop payments, and follow-up to ensure that replacement checks are issued.

  • Respond to calls and visitors for the SOFC

  • Provide customer service to a large number of students.

Student Engagement Administration

  • Perform other duties as assigned (including service on campus committees) to advance the unit, department, and division.


Minimum Qualifications

  • High school diploma or equivalent.

  • Any one or combination totaling one (1) year (12 months) from the categories below:

    • Course work in accounting, as measured by the following conversion table or its proportional equivalent:

      • 6 semester hours equals one (1) year (12 months)



    • Course work in any discipline as measured by the following conversion table or its proportional equivalent:

      • 30 semester hours equals one (1) year (12 months)



    • Work experience in bookkeeping, office support, or closely related experience.




Preferred Qualifications

  • Familiar with the policies/procedures for the University as well as University purchasing and accounting forms, policies, and procedures.


Knowledge, Skills and Abilities

  • Ability to work with a diverse group of people and understanding of issues of diversity and inclusion.
  • Excellent communication skills
  • Strong organizational and problem-analysis skills.
  • Understanding of Microsoft Office suite
  • Ability to apply bookkeeping practices and procedures
  • Ability to apply basic accounting techniques
  • Ability to manage multiple and complex priorities within a fast-paced environment where interruptions may be frequent.
  • Good interpersonal and communication skills and the ability to work effectively in highly demanding student-centered work environment.
  • Ability to work independently
  • Excellent organizational skills and attention to detail


Appointment Information


This is a 100% full-time Civil Service 3851 - Accounting Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after 6/3/2024. Starting salary is $38,555.40.
