Job Description:

Our client, a fast-paced financial services group, is seeking an Executive Assistant to add to their team. This role is pivotal in ensuring seamless executive operations and communications. The ideal candidate will provide comprehensive administrative support, manage complex schedules, and facilitate effective decision-making processes. The role demands exceptional organizational skills, proactive problem-solving, and the ability to anticipate and address the needs of a dynamic, fast-paced executive team. The successful candidate will be a central figure in maintaining the efficiency and effectiveness of our leadership.

KEY RESPONSIBILITIES
  • Efficiently manage calendars and travel itineraries, handle administrative tasks, and manage sensitive information with discretion
  • Oversee special projects, event planning, and coordinate activities involving other administrative professionals
  • Prepare meeting note summaries, reports, white-board transcriptions, and summaries focused on time management and actionable priorities for executives
  • Be responsible for the creation and maintenance of a company calendar, comprising important meetings, events, and milestones (such as Board of Directors meeting, performance review cycles, and other similar topics)
  • Assist in creating and maintaining a peaceful and clean office environment
  • Fully embrace and represent the company's core values and purpose in all aspects of the role

  • Exceptional verbal and written communication skills, including the ability to effectively convey complex information and liaise between executives and various stakeholders
  • Ability to handle sensitive information with utmost discretion, maintaining confidentiality in all aspects of the role
  • Strong organizational and time management skills, with an aptitude for prioritizing tasks and managing multiple projects efficiently
  • Capacity to anticipate challenges and proactively address them, demonstrating resourcefulness and critical thinking in a dynamic environment
  • Proficiency in a range of office software and technologies, with an ability to quickly adapt to new tools and systems

QUALIFICATIONS
  • Degree or equivalent experience, with 1-5 years in an Executive Assistant role
  • Experience in the financial services, venture capital, or investment industry required
