The Office Coordinator is responsible for maintaining office cleanliness, greeting guests, and assisting upper management with key functions as needed.

Responsibilities
  • Greet visitors, offer refreshments, and alert appropriate co-workers of their arrival
  • Facilitate weekly/monthly catered meals
  • Set up new hire desks: arrange their seating space, and get them situated with their hardware
  • Coordinate the ordering, storage, and distribution supplies for office; track these items with extra care and keep meticulous records
  • Prepares outgoing shipping and mail, assist with shipping and receiving logistics, including incoming mail and package deliveries
  • Work with building management to maintain employee access
  • Answer and route all phone calls / takes and relays messages
  • Maintains visitors list
  • Maintains, update, and distribute employee phone directory
  • Manages conference room schedules and troubleshoot scheduling conflicts
  • Clean and prep break areas for next morning set up as well
  • Maintain general appearance of the main conference room, lobby, reception, and common areas
  • Book domestic flights for the company as needed
  • Maintains communication with the building management and submit work orders for maintenance required in the suite such as electrical issue, plumbing issues, cleaning, etc

Qualifications:
  • Bachelor's degree preferred
  • 1-2 years of administrative, facilities, or office experience, preference on exposure to a busy environment
  • Ability to work independently.
  • Attention to detail is an absolute must.
  • Ability to bustle about, bend, squat, and lift and stand for long periods of time
  • Outstanding written and verbal communication skills
  • Able to multitask and prioritize in a fast-paced environment.
