Job Description Summary
Perform the physical and administrative tasks involved in shipping and receiving. Maintains records of received goods/pieces of mail. Prepares and maintains records of items shipped/mailed. Prepares goods/pieces of mail for final shipment.
MAIL ORGANIZATION
•\tSort and collate mail
•\tDispose of junk mail
•\tSort mail, such as returned letters, adjustments, bills, orders and payments
•\tResolve issues with incorrect, returned mail
•\tReceive outgoing mail and apply correct postage
•\tArrange for pickup of outgoing mail
•\tStamp mail with postage meters
•\tFold letters, circulars or other documents and insert into envelopes for distribution
•\tRecord registered mail
MAIL DISTRIBUTION
•\tPlace mail in proper buckets for distribution
•\tProcess outgoing shipments (Fed-Ex, UPS, DHL and USPS)
•\tWeigh mail to determine correct postage
•\tPlace mail in metal bins and carry to departments for distribution
OFFICE ASSISTANCE
•\tPerform hospitality services and minor housekeeping items
•\tProvide reception relief as needed
•\tEnsure office is adequately stocked with mail supplies
•\tStock copy rooms and printing devices
•\tProvide support for small office moves
•\tSet up and tear down conference rooms


EDUCATION AND EXPERIENCE
•\tCandidate must have a high school diploma or GED equivalent
•\tMinimum 2 years of previous mail room experience
KNOWLEDGE, SKILLS, AND ABILITIES
•\tExcellent communication skills in English, both written and oral
•\tExcellent computer skills, specifically word processing and database entry and knowledge of fax and scanning machines
•\tAbility to learn quickly
•\tAbility to sort the mail in a way to help ease and speed of delivery
Physical Conditions
•\tLift heavy boxes, files or paper when needed
•\tRegularly required to travel from floor to floor and may be required to travel outside between buildings in varying outdoor weather conditions.
•\tRegularly required to sit or stand for prolonged periods of time
•\tRegularly use hands to operate office machinery
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May be required to travel outside between properties in varying weather conditions.
