Position Summary:
As an Executive Administrator, you will be responsible for providing personal.
administrative assistance to the project teams as well as customer service
support. You will be responsible for the Project details once the project is
awarded. This includes coordination with project managers and teams,
specifications, field information, tracking of addenda and maintaining project
documentation from pre-design through project closeout. As front desk
support, you will be the first point of contact for our online vendor.
The successful candidate will:
• Maintain confidential information as it relates to projects.
• Assist Project Managers with other aspects of the team and project
management.
• Flexible and creative in finding solutions to keep projects and teams
moving forward.
• contact all contractor and vendors.
• Answer incoming calls.
• Perform basic accounting tasks such as order entry and expense
reporting.
• Coordinate conference rooms, events, and meetings.
• Make travel reservations, manage office calendars, and distribute mail.
Required Qualifications:
• High School Diploma or equivalent.
• 3 or more years’ experience in the A/E industry providing project
support.
• Proficient with Microsoft Office, Adobe Acrobat, Bluebeam and
Newforma software.

• Ability to key 60wpm at a minimum.
• High attention to detail.
• Excellent communication skills, both verbal and written.
• Proactive, independent thinker possessing a high attention to detail
and ability to prioritize.
• Working knowledge of business procedures and office equipment.
• Must be eligible to work in the United States without need for work visa
or residency sponsorship.
Preferred Qualifications:
• AP/AR
• Cryptocurrency, Stock and Finance.
• Experience using QuickBooks and Contract Documents software.
• Adobe Creative Suite experience.
• Experience with commercial projects in an administrative support role
