Job Description:

The Senior Family Office Associate will also supervise and support the day-to-day activities of the Service and Administration Team. They will manage the Client Service Request logs for the business unit.

Duties:
  • Supervise the Family Office Group Service and Administration Team
  • Create and follow processes, as well as own the associated risks and controls.
  • Educate and train employees on operational policies as well as contribute to ongoing improvements.
  • Train in and implement the Entrepreneurial Operating System (EOS) business model.
  • Oversee client onboarding.
  • Opening new accounts, manage online services, and money movement.
  • Be the first point of contact between clients and the firm.
  • Schedule advisor/client meetings.
  • Respond to client inquiries, answer questions, and resolve issues.
  • Obtain and process all client information and transactions.
  • Maintain client records.
  • Compile and update documents and contracts.
  • Navigate Schwab website.
  • Outreach to potential new clients.
  • Prioritize between urgent, important, and secondary tasks.
  • Expedite serious issues to management for prompt resolutions.
  • Draft written communication on behalf of advisors.
  • Build positive client relationships through following up, checking in, and soliciting feedback to instill confidence that we are the best possible team to safeguard their wealth.
  • Communicate continuously, proactively, and promptly with clients, team members, and stakeholders with respect to the control environment.
  • Perform administrative and clerical duties as needed.

Required Experience and Qualifications:
  • Bachelor's degree.
  • 5+ years of experience as a Client Services Associate or Family Office Associate in the financial industry.
  • Understanding of investment management concepts.
  • Exceptional communication and customer service skills, including listening skills.
  • Experience with Schwab is preferred.
  • Advanced proficiency in Microsoft Office (Word, Excel, and Outlook), as well as DocuSign and Adobe.
