Job Description:

Oversee daily activities in the Lab and Diagnostics product divisions which may include: division analytics, inventory, vendor management (relations and manufacturing), and/or sales support. Responsible for supervising staff members, reviewing workloads and planning employee trainings.

RESPONSIBILITIES


  • Divisional support

  • Assist Product Managers on any disruption within the network including but not limited to vendor delays, transportation, backorders, surplus, misc. issues with any of the 45 distribution centers and delivery optimization.

  • Holds quarterly operations analytics meetings for General Manager and Group President that illustrate scrap and sales comparisons year over year, surplus, additional distribution charges, savings, and recommendations based on analysis.

  • Create STAR's to improve work efficiency and automation for both the division and entire company.

  • Inventory Management


    • Establish the optimum level of inventory by meeting with buyers, suppliers and vendors

    • Host weekly calls with Inventory Management team or seasonal team to create, monitor, adjust and review forecasts and open vendor PO's..

    • Strategize with the product management team outlook for flu and COVID seasons.

    • Manage surplus levels for two divisions and work with vendors to obtain authorization to return surplus. Work with PM's and sales force to deplete surplus. Present cause and action plan to division Presidents.

    • Work with Product Managers on high-valued surplus items to reduce scrap charges. Closely monitor stock on a weekly basis to ensure FEFO is executed on an aggregate level. Guide the buyer on rebalancing stock across the network.

    • Create and track reasons for scrap. Analyze data, find areas of opportunity, and execute.

    • Set the foundation for stocking thresholds for "specialty items" to include MEDIAR and lot sequester items.


  • Product Distribution


    • Ensure the seamless delivery of finished goods and management of local finished goods inventory.

    • Oversee the locations and teams responsible for incoming shipments and product distribution (Medline branch or vendor location).

    • Coordinate inventory levels (surplus, stock transfers, returns, DEDs, slot holds) with branch to meet business needs.

    • Attend monthly calls with engineering, operations and sales force to review capacity constraints and future refrigerated growth.


  • Vendor Management


    • Work closely with vendors on production and delivery schedules to ensure high service levels.

    • Attend and lead vendor calls to review any interruption within the supply chain network (backorders, transportation and scheduling delays, forecasting inconsistencies).

    • Monitor, adjust, and communicate forecasts and priorities to meet business needs

    • Review vendor issues (billing discrepancies, problem tickets, quality concerns, debit memos and credits).

    • Coordinate with vendor on returns due to surplus, misshipments, recalls and quality issues.

    • Reconcile bills and blocked invoices due to vendor returns to ensure accurate and prompt payment to vendors.


  • Sales Support


    • Assist internal Sales/ and or Product Support teams.

    • Assist with rebalancing stock, reroutes and backorders.


  • Management responsibilities include:


    • Lead a cross-functional team across two divisions that oversees the day-to-day business activities for over 45 distribution centers

    • Hire, train and develop employees, compose yearly strategic SMART growth goals, track employee performance against established metrics, delegate both routine and important tasks and decisions.

    • Provide direction on team goals and ensure team is meeting completion dates. Identify more critical and less critical activities; adjust priorities when appropriate. Allocates appropriate amounts of time for completing own and other's work.

    • Create, train and coach employees on new tools, processes and procedures that contribute to metric achievement. Analyze metrics and trends and make recommendations that drive more positive outcomes.

    • Bring innovative solutions to help improve process and efficiency. Support process improvement project deliverables.

    • Ensure department Standard Operating Procedures (SOPs) are current and followed.

    • Perform quantitative calculations for operational expenses, prepare a cost analysis, and evaluate the impact. Present recommendations based on findings.

    • Work with cross-functional teams to drive projects forward collaboratively and to deliver effective results within the expected timeline.


Education & Relevant Work Experience


  • High school diploma or equivalent and at least 4 years of experience in business operations and/or supply chain management OR Bachelor's degree and at least 2 years of experience in business operations and/or supply chain management
  • Preferred: 1-2 years supervising or leading a team.


Additional

  • Experience analyzing and reporting data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions.
  • Enterprise software experience (ex. SAP).
  • Intermediate skill level in Microsoft Excel (for example: using common functions such as V-LOOK UP, SUM, IF, Pivot tables, charts and graphs.
  • Intermediate skill level in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
