Description
This Integrated Support Team Specialist role, located in Washington, DC or Germantown, MD, is an onsite position within NNSA’s NA-83 Office of Nuclear Forensics. This role serves to support the Office Director, Deputy Director, Federal PMs, and Technical Advisors with office management by performing secretarial and administrative duties.
ESSENTIAL FUNCTIONS:
Track issues and topic areas that cross programmatic boundaries that impact the Nuclear Forensics office.
Provide office meeting support, including scheduling coordination and development of meeting materials such as agendas, notes, briefing products, etc.
Coordinate strategic documents; synthesize technical information; conduct comment adjudication; position involves direct interface with multiple agencies and national laboratories.
Participate in development of and produce professional-level documents in support of the Nuclear Forensics office.
Provide administrative support to a broad range of operations and collaborative efforts with other program offices and the interagency as they relate to improving the Nuclear Forensics office.
Facility issue requests
Process and troubleshoot facility access
Screen correspondence for action items and signatures
Liaise with organizational partners
Detailed, accurate note-taking, as well as, tracking action items from meetings
Review emails containing requests for support or direction of tasks
Manage office functions as delegated
Primary POC for eDOCS submission and management
Manage conference room and auditorium scheduling
Onboarding/offboarding POC
Screen unscheduled visitors
Arrange itineraries for visitors
Ensures office supplies are maintained, systems in the office are functional, and general procedures are met to maintain a safe, secure, and productive office space
Establish and maintain office files and databases, including electronic data files and architecture consistent with file storage/structure best practices.
Prepare meetings or conferences, set up teleconferences, video conferences, and MS Teams; ensure all required equipment is available, usable, and accessible
All other duties as assigned
MINIMUM QUALIFICATIONS:
High School Diploma
5+ years of relevant administrative experience
Eligibility for a DOE Q security clearance
Knowledge of the basic foundation of administrative concepts and practices sufficient to enable the incumbent to foresee administrative problems and requirements needed for internal procedures, administrative controls, and reporting systems, recommend and implement new or changes in administrative policies, procedures, and office practices, provide guidance to subordinates, and advise on general office practices and problem-solving.
Proficiency in in-office computer systems and software applications such as the Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel), including word processing, presentations (developing and editing), spreadsheets, databases, flow charts, general office procedures, grammar, punctuation, and spelling.
PREFERRED QUALIFICATIONS:
Associate or Bachelor’s Degree from an accredited school.
Active DOE Q or DoD Top Secret security clearance

Telework options are available with a requirement to be in the office at least three days a week, based on the level of in-person meetings and office needs.
