Job Title: RFP Specialist

Position Overview: Our client is seeking a highly organized and detail-oriented RFP (Request for Proposal) Specialist to join their Marketing and Client Services team. The RFP Specialist will play a critical role in coordinating the completion of RFPs, RFIs (Request for Information), and DDQs (Due Diligence Questionnaires) to support the firm's business development efforts and client servicing initiatives.

Key Responsibilities:
  1. RFP Management: Lead the end-to-end process for responding to RFPs, RFIs, and DDQs, collaborating with subject matter experts across the organization to gather relevant information and ensure timely completion.
  2. Content Development: Develop and maintain a repository of standard responses, boilerplate language, and marketing collateral to support RFP responses, ensuring accuracy, consistency, and alignment with firm messaging and branding guidelines.
  3. Customization: Tailor RFP responses to address the specific needs and requirements of prospective clients, adapting content and messaging as necessary to highlight the firm's unique value proposition and investment capabilities.
  4. Quality Assurance: Conduct thorough reviews and edits of RFP responses to ensure accuracy, clarity, and compliance with requested formats and guidelines, seeking input and feedback from internal stakeholders as needed.
  5. Project Coordination: Manage multiple RFP projects simultaneously, prioritizing tasks, setting deadlines, and tracking progress to ensure timely submission of high-quality responses.
  6. Database Management: Maintain RFP databases and tracking systems to record all RFP activity, including outcomes, feedback, and lessons learned, facilitating continuous improvement and knowledge sharing.
  7. Market Intelligence: Stay informed about industry trends, competitor positioning, and client preferences to enhance the effectiveness of RFP responses and support strategic decision-making.
  8. Client Support: Provide support to the sales and client relations teams as needed, assisting with client presentations, meetings, and other client-facing activities to promote client engagement and satisfaction.


Qualifications:
  • Bachelor's degree in Finance, Business Administration, Marketing, or related field required.
  • 2+ years of experience in RFP management, preferably in the financial services or investment management industry.
  • Strong project management skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Excellent writing and editing skills, with a keen attention to detail and ability to articulate complex ideas clearly and concisely.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with RFP software or databases preferred.
  • Strong interpersonal skills, with the ability to collaborate effectively with cross-functional teams and build relationships with internal and external stakeholders.
  • High level of professionalism, integrity, and discretion in handling confidential information.
