Our boutique venture capital firm is seeking a full-time Office Assistant and Receptionist to run our Flatiron office location. The ideal candidate will be proactive, detail oriented, and meticulously dedicated to the appearance and experience of the office. This is a unique opportunity to create an elevated work environment, with input into everything from office decor, snacks, furniture, technology systems and more.
RESPONSIBILITIES:
Ensure seamless reception experience for all visitors
Manage inventory by tracking, ordering and stocking office supplies, pantry items, amenities, cleaning products, and electronic equipment
Follow detailed quality control checklist to ensure that all office fixtures, equipment and electronics remain in proper working order
Interface with building management and direct third party vendors including cleaning staff, HVAC service, plant caretakers, etc.
Maintain the appearance of all office spaces, keeping them tidy and organized throughout the day
Manage building access and oversee office assignments for founders-in-residence and friends of the firm
Upgrade office furnishings, equipment and decor as appropriate
Order catering and assist with set-up and clean-up for onsite meetings and events
Plan and execute corporate events
Ad hoc requests and projects such as printing, scanning, mailing, and errands as needed
REQUIREMENTS:
Tech savvy, able to use technology to streamline office operations
Skilled with Apple products
Excellent verbal and written communication
Highly organized and meticulously detail-oriented
Tenacious, resourceful problem-solver
Prior experience in retail, hospitality or office management is helpful
