Job Description:

New York-based non-profit seeks a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our CEO. The ideal candidate will be a detail-oriented individual with exceptional communication skills and the ability to handle a wide range of administrative duties in a fast-paced environment.

Salary: $90-115k

Responsibilities:
  • Manage the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.
  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
  • Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Conduct research and compile data as needed for projects, presentations, or reports.
  • Serve as the primary point of contact for internal and external stakeholders, representing the CEO in a professional manner.
  • Assist with special projects and initiatives as assigned by the CEO.
  • Handle confidential information with discretion and maintain strict confidentiality at all times.
  • Manage office supplies, equipment, and other administrative tasks to ensure smooth operations.
  • Support the CEO in fostering positive relationships with donors, partners, board members, and staff.

Qualifications:
  • Bachelor's degree preferred.
  • Proven experience as an executive assistant or similar role, preferably in a non-profit or corporate environment.
  • 10+ years of administrative experience is preferred
  • Excellent organizational skills and the ability to multitask and prioritize workload effectively.
  • Strong written and verbal communication skills, with keen attention to detail.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Flexibility to adapt to changing priorities and work independently with minimal supervision.
