Job Title: Receptionist

Location: Peabody, Massachusetts

Note : This is urgent need, Backfill for a staff worker who is going OOO for a surgery. This requirement is only for 3 weeks and there is the possibility of a one-week extension to it (totally dependent on management). Please send us resumes as quickly as possible, we will get it reviewed ASAP.

Summary:

The Receptionist will be responsible for answering, directing and providing timely, courteous, and professional telephone support for all inbound phone calls. This person will greet all visitors as they enter the building and ensure the professional appearance of the main lobby is maintained. The Receptionist will perform administrative duties as assigned.

Description of major duties:
  • Answer all incoming calls in a professional and courteous manner.
  • Greet all customers, vendors and/or guests in a professional and courteous manner.
  • Ask visitors for picture ID and give contractors safety brochures (if first time in bldg)
  • Maintain the professional appearance of the main lobby and reception area.
  • Direct incoming customer sales calls to the appropriate back up associate when necessary
  • Ensure all customers, vendors and/or guests sign in upon entry and have a badge assigned to them. Also ensure that they sign out and return badge upon exiting. (Converge badge for Converge visitors and Arrow badge for Arrow visitors)
  • Sort the daily incoming mail. (mail distribution handled by facilities)
  • Responsible for updating the telephone directory on a monthly basis.
  • Order office supplies as necessary.
  • Print badges and nameplates as needed to back up Facilities (Currently Facilities handles this)
  • Perform miscellaneous duties as requested.
  • Manage the building conference room calendars
  • COD check process for FedEx and UPS
  • Accounts receivables processing
  • Office supply ordering
  • Support Arrow/Converge EA's w/catering needs
  • Some file and record management
  • Printing, copying, faxing
  • Some office email communications
  • FedEx/UPS support to staff
  • General 'go to' for everyone in the office.

Qualifications:
  • High School Diploma or equivalent.
  • A minimum of one year of switchboard, receptionist and administrative experience is required.
  • Must be able to work well under pressure and maintain a professional, courteous and calm behavior always.
  • Excellent oral communication skills required.
  • Proficiency with Microsoft Office programs required.
  • Reliability & punctuality is a must.
