Job Description:

Our client, an international private equity firm managing over $17 billion is looking to hire an EA to support their Investment Team. The ideal candidate will have 5 or more years of experience working in the asset management industry, be able to anticipate needs and follow up with modest direct supervision, adept at multi-tasking in a fast-paced environment, be comfortable with technology, systems and databases. The Assistant will work closely with other administrative professionals across the firm, which includes a team of four in the New York office. The Administrative Assistant will work with the NYC team and will help to support the Investment Team and will regularly interface with administrative teams in London and Hong Kong office locations. This position is a hybrid role, in the office Tuesday through Thursday and working from home Monday and Friday.

Compensation: 110-130K Depending on Experience + Generous Bonus + Excellent Benefits

Hours: 8/830-5:30 (with flex as needed for ot)

Degree: Highly preferred

Job functions include:
  • Scheduling meetings with internal colleagues and third-party managers, investors, advisors, and candidates.
  • Coordinating and scheduling team participation in annual general meetings for managers in managed portfolios.
  • Downloading and organizing deal-related materials on transactions under review by the investment team.
  • Coordinating the execution of deal-related documents and agreements.
  • Supporting other administrative team members as needed with scheduling firm-wide events, and preparing meeting materials.
  • Arranging for catering; registering guests; arranging IT resources, meals and other reservations.
  • Organizing and planning travel, such as hotel accommodations, air and ground transportation, meal reservations and preparing detailed itineraries.
  • Completing expense reports.
  • Assisting with drafting and editing letters, presentations and related documents.
  • Assisting with photocopying, scanning and binding when required
  • Maintaining efficient filing systems to ensure reports, invoices, correspondence and financial documentation is organized and readily available.

Qualifications
  • College degree or equivalent work experience required
  • Minimum of 5-years of administrative support experience
  • Strong proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint etc.;), including an ability to edit, proof, and format documents for presentations requiring a high degree of accuracy and professionalism.
  • Excellent organizational skills with attention to detail.
  • Strong written and verbal communication skills.

  • Strong problem-solving skills.
