Job Description:
A Private Equity Investment Firm is looking for an Executive Assistant to join and support their team. The ideal individual for this opportunity will have a combination of administrative experience and strong skills in calendar management, travel scheduling, communication, and organization.
Responsibilities:
Arrange, confirm, and manage detailed calendars; schedule complex meetings ensuring punctuality
Facilitate meetings within and outside the department, ensuring all parties are informed of any changes
Act as a liaison for all staff levels, clients, and the public, managing visits and inquiries with diplomacy
Organize international and domestic travel, including flights, hotels, and travel documents
Prioritize emails, maintain contacts, and handle routine correspondence on behalf of the team
Book reservations, arrange transportation, and handle catering for events
Maintain files, manage photocopying, scanning, prepare expense reports, and other ad-hoc administrative tasks
Qualifications:
4+ years of administrative experience
Excellent calendar management skills, including coordination of meetings/calls/events
Experience scheduling domestic and international travel
Microsoft Office proficient
Solid problem solving and time management skills
Exceptional phone etiquette
Great interpersonal skills
Excellent communication skills (written and verbal)
Strong attention to detail
