Job Description:

A Private Equity Investment Firm is looking for an Executive Assistant to join and support their team. The ideal individual for this opportunity will have a combination of administrative experience and strong skills in calendar management, travel scheduling, communication, and organization.

Responsibilities:
  • Arrange, confirm, and manage detailed calendars; schedule complex meetings ensuring punctuality
  • Facilitate meetings within and outside the department, ensuring all parties are informed of any changes
  • Act as a liaison for all staff levels, clients, and the public, managing visits and inquiries with diplomacy
  • Organize international and domestic travel, including flights, hotels, and travel documents
  • Prioritize emails, maintain contacts, and handle routine correspondence on behalf of the team
  • Book reservations, arrange transportation, and handle catering for events
  • Maintain files, manage photocopying, scanning, prepare expense reports, and other ad-hoc administrative tasks

Qualifications:
  • 4+ years of administrative experience
  • Excellent calendar management skills, including coordination of meetings/calls/events
  • Experience scheduling domestic and international travel
  • Microsoft Office proficient
  • Solid problem solving and time management skills
  • Exceptional phone etiquette
  • Great interpersonal skills
  • Excellent communication skills (written and verbal)
  • Strong attention to detail
  • Highly organized
