PA to Global Head of Corporate Affairs, CVRM and Head of Biopharmaceuticals R&D Communications




Location: Boston Seaport




Introduction to role:



Are you ready to take on a challenging, proactive, and varied role within the Global Corporate Affairs Biopharmaceuticals team? This is your chance to provide comprehensive PA support to the Global Head of Corporate Affairs, CVRM and Head of Biopharmaceuticals R&D Communications. You'll also work with their teams to provide general administrative support to deliver the communications and engagement plan. Accountabilities:



You will be responsible for proactive and extensive diary management for the Global Head of Corporate Affairs CVRM and Head of BioPharma R&D Communications. This includes proactive planning of travel arrangements, preparing agendas, presentation materials, and other relevant documentation ahead of meetings. You will also be responsible for collating and processing expense claims, organizing internal/external meetings, supporting the team to set up new initiatives and events, supporting department new starter onboarding, preparing and creating purchase orders, tracking the teams budgets, and working with the broader GCA PA network to harmonize processes.



Activities include:



  • Proactive and extensive diary management for the Global Head of Corporate Affairs CVRM and Head of BioPharma R&D Communications.

  • Proactive planning of travel arrangements, including flights, accommodation, airport transportation, car bookings, trains, visa requirements etc. (preparing travel packs / itineraries)

  • Preparing agendas, presentation materials and other relevant documentation, as necessary ahead of meetings

  • Collating and processing of expense claims within set group timelines and ensuring compliance with the expenses policy

  • Organizing internal/external meetings including room bookings and catering arrangements, coordinating global conference calls / video conference calls

  • Supporting the team to set up new initiatives and events that required coordination

  • Supporting department new starter onboarding by providing first class service, as well as owning, updating and maintaining the wider GCA onboarding process current and relevant

  • Preparing and creating purchase orders as needed for all payables to vendors, including approvals on behalf of executive e.g. Coupa, epay etc, as well as setting up of suppliers and resolving queries

  • Monthly/Quarterly tracking of the teams budgets

  • Working with the broader GCA PA network to harmonize processes and provide support where necessary across the organization, such as holiday/sickness cover as required.




Essential Skills/Experience:



  • 5+ years experience of providing full PA/administrative support at a senior level.

  • High School diploma or GED required, Bachelor's degree preferred

  • Confident and experienced using Microsoft Office and other web-based systems.

  • Excellent written and verbal communication skills.

  • Excellent administrative, interpersonal, time management and organizational skills.

  • Excellent project management skills with demonstrated ability to effectively manage multiple priorities.

  • Ability to track finances and provide reporting updates against budgets

  • Excellent team working, networking and influencing skills and ability to engage relevant AstraZeneca staff and leaders in developing solution.
