An independent financial advisory practice with @$200M AUM in Pittsburgh, PA is hiring an Administrative Assistant to provide proactive support to financial advisors and assist with efficient, quality client service. Follows established procedures to perform routine tasks and receives general guidance and direction to perform other work with substantial variety and complexity requiring limited decision-making responsibility. Extensive contact with internal and external clients to process insurance applications and assist with the underwriting process.
Responsibilities
Enter and maintain all necessary information into our systems related to portfolios, contacts, groups, report distributions, translation tables, securities, indexes, prices, factors, sectors, ratings, etc.
Run daily processes such as data translation, missing information alerts, exception reporting, reconciliation summary, etc.
Review daily tasks performed by other team members to ensure operating standards are being followed across all areas of operations
Monitor daily workflow to ensure that all tasks are completed timely and accurately
Perform periodic procedural reviews and audits to identify control gaps to minimize operational risk
Maintain data integrity on all systems, analyze large data sets, and perform business intelligence reporting
Build and update documentation on operations workflow and best practices
Provide training to new hires and existing staff
Perform ad-hoc analysis in all areas of operations
Prepare daily and monthly management information reports
Liaise directly with all functional groups in operations
Assist in all aspects of quarter end processing as necessary
Assist in all aspects of operations by filling gaps as necessary
Identify key process improvements, develop key performance indicators, implement best practices across the organization, and ensure alignment across operating plans and strategic initiatives
Apply industry-specific best practices to build lean, efficient and effective operating processes while focusing on quality management
Improve existing processes to ensure they are efficient and flexible to support ever changing business and technology requirements
Perform special projects and operational duties as assigned by the department, Portfolio Managers or Management Team
Work closely with the Back Office Operations Team to execute core responsibilities and all firm goals and initiatives
Work efficiently and facilitate a team oriented culture
Qualifications
Bachelor's degree required
Strong interpersonal, customer service and communication skills
