Our client is hiring an Executive Assistant to the Chief Executive Office. This person will support only the CEO and work hand-in-hand with him on all business matters, as well as personal responsibilities. This is an in office, 5 day/week position.
Salary if/when perm: range of $120,000 - $150,000 based on experience and qualifications.
Responsibilities:
Manage complex and ever-changing calendar. Heaving meeting scheduling, both for in person and virtual. Be a gate-keeper and guardian of the calendar. Prioritize to create optimal time management for CEO
Plan, schedule and coordinate extensive travel (both domestic and international). Create detailed itineraries and manage trip through updates and reminders
Create agendas and prep notes for meetings and calls
Manage expenses. Keep receipts, allocation expenses appropriate and input in Concur
Support with various CRMs
Keep CEO organized and make sure day is run efficiently
Work hand in hand to manage personal responsibilities
Small in office tasks such as getting coffee and lunch, printing materials, etc.
Work on special projects
Provide occasional support to Reception / other EAs when those professionals are on vacation
Required Qualifications:
The successful candidate should have the following qualifications:
College degree or equivalent job experience with a minimum five (5) years as an executive or administrative assistant including experience providing administrative support at the Executive level
Ability to thrive in a dynamic, complex and fast-paced environment. Ability to adapt quickly changing priorities
Highly motivated with the ability to work independently and take initiative
High level of integrity, ethics and professionalism; discrete in dealing with information of a sensitive and confidential nature
Polished communication skills, both verbal and written
Excellent knowledge of the Microsoft Office suite with knowledge of Word, Excel and PowerPoint. Knowledge of Concur is important. Able to learn new technologies such as DealPath, Affinity or others
Experience scheduling and managing complicated and extensive travel
Highly organized with attention to detail
Professional, energetic attitude with excellent interpersonal skills
Helpful to have knowledge of and experience in investment management or finance organizations
