We are seeking a highly organized and proactive Executive Assistant to support our executive team in managing their day-to-day operations. This is a contract to hire opportunity and we're seeking candidates who can start immediately!
The ideal candidate will be adept at multitasking, possess exceptional communication skills, and exhibit a high level of professionalism and discretion. This position offers an excellent opportunity to work closely with senior leadership in a dynamic and fast-paced environment.
Responsibilities:
Manage executives' calendars and schedules, including arranging meetings, appointments, and travel arrangements.
Screen and prioritize incoming emails, phone calls, and correspondence, ensuring timely responses and follow-up as necessary.
Prepare and edit documents, presentations, and reports for internal and external distribution.
Coordinate and facilitate communication between executives and various stakeholders, both internal and external.
Conduct research on behalf of executives, compiling information and reports as needed.
Assist in the planning and execution of company events, meetings, and conferences.
Handle confidential information with discretion and maintain strict confidentiality at all times.
Assist in managing expense reports and reimbursements.
Perform general administrative tasks such as filing, photocopying, and ordering office supplies.
Act as a liaison between executives and other team members, ensuring smooth communication and coordination of tasks.
Requirements:
Proven experience as an executive assistant or similar role, preferably in a fast-paced environment.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Strong communication skills, both written and verbal, with a professional and courteous demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to maintain confidentiality and handle sensitive information with discretion.
Resourcefulness and problem-solving skills, with a proactive approach to resolving issues.
Flexibility and adaptability to changing priorities and deadlines.
High attention to detail and accuracy in all work performed.
Bachelor's degree or equivalent work experience preferred.
Availability to work part-time hours, with flexibility to adjust schedule as needed to accommodate executive's requirements.
