JOB DESCRIPTION
We are seeking a highly motivated and reliable Administrative Assistant to support our organization by managing the day-to-day tasks and administrative needs of our business. The Administrative Assistant's responsibilities include performing administrative tasks, supporting the senior leadership team, assisting other company departments as needed, and ensuring smooth daily operations. In this role, you will track the company's daily workflow and perform boots-on-the-ground assistance in in the completion of the team's projects in various areas. Ultimately, you will work with various departments across the organization to ensure all administrative and operational tasks are completed as needed. This role is a high visibility cross-functional role that offers the chance to establish and advance the operational capacity of the daily operations while collaborating with management, scientists and other employees to support the company. The ideal candidate must possess strong organizational skills and demonstrate the ability to juggle multiple tasks, while having a natural flexibility in handling day-to-day routine tasks as well as non-routine tasks.
KEY JOB RESPONSIBILITIES
Administrative
Provide administrative support to our team as needed, including scheduling complicated internal/ external meetings, events and global travel schedules; mailing and shipping packages; reviewing and processing contracts and expense reports; and updating contacts database and employee lists
Provide top tier customer service for our employees by supporting them with their daily workplace needs, in person and virtually
Provide support for the leadership team in daily management of activities and tasks in various departments including HR, IT, Legal, Facilities, External Communications
Manage and execute room set-ups for special events such as Board Meetings and All Hands Meetings, and provide critical and timely support for management to host office visitors
Assist HR with recruiting process and onboarding new employees
Implement and manage special projects to completion with minimal supervision as needed
Handle confidential information with highest regard and facilitate communication between appropriate people and teams
Workplace Operations
Point person for general team member questions, maintenance, mailing, shipping, supplies, equipment, bills, and errands
Serve as lobby ambassador, providing general support to visitors, fielding calls as well as incoming mail
Oversee and maintain office supplies, snacks and equipment for uninterrupted function and identify needs and acquire supplies as needed
Coordinate and arrange meals for the team or other in-office catering on as-needed basis
Ensure common areas such as the kitchen, reception, conference rooms, etc. are tidy and meeting-ready
Shepherd the office/team into maintaining a perfectly clean and organized facility - suited for the most senior visitors at any time
People Initiatives
Participate actively in the planning and execution of company team building events to help foster company culture and team-building
Management of new hire and anniversary swag
Develop and support employee recognition programs
Identify projects that will improve employee experience and productivity
Maintain strong and open lines of communication with all team members
Other
Other duties or special projects as assigned or necessary to support the program, office and/or the company
SKILLS AND QUALIFICATIONS
Bachelor's degree or equivalent
3+ years of experience working in an office setting
Experience in biotech or pharmaceutical industry preferred
Proficiency with office applications, and aptitude for learning new software and systems
Quick learner who is unafraid of asking questions to keep things running smoothly
Able to work independently and collaboratively to execute on projects and adhere to deadlines

The anticipated salary range for this position is $75,000 to $100,000. The actual salary will be dependent on various factors that may include experience level, knowledge, skills and abilities.
