Job Title: Import/Export Logistics Coordinator


Location: ADS Headquarters (Virginia Beach, VA) - Remote locations will NOT be considered


The Import/Export Logistics Coordinator operates as an intermediary, coordinating and facilitating the successful delivery of all export and import shipments while exercising personal judgment and discretion.


Responsibilities 



  • Regularly engage with customers, vendors, carriers, and freight forwarders to ensure successful delivery while following all applicable requirements.

  • Monitor export and import deliveries, fill customer requests and oversee shipping logistics.

  • Complete or review commercial invoices for all drop ship exports ensuring all regulations are being followed.

  • Select the appropriate freight forwarder and mode of transportation to ensure delivery to the destination by the required delivery date.

  • Anticipate and plan for all the details that will ensure successful delivery, such as special equipment for loading or offloading or specific labeling requirements.

  • Complete additional documentation required such as FCC and FDA forms and obtain duty-free certificates for imports.

  • Ensure all import paperwork contains proper contract information to minimize import duty and taxes.

  • Route return shipments both CONUS & OCONUS as needed.

  • Prepare shipper declarations as needed for any shipments containing hazardous materials.

  • Monitor reports to identify orders with specific requirements and proactively engage with suppliers to ensure contractual compliance.

  • Participate in qualifying and vetting new freight forwarders.

  • Work with select suppliers coordinating shipments direct with carriers.

  • Serve as point of contact for import/export-related questions and inquiries.

  • Leverage available resources to ensure tasks are completed correctly and efficiently.

  • Participate in cross-departmental discussions to resolve logistics related issues.

  • Obtain freight quotes for bids and active shipments.


 


Minimum Requirements



  • Bachelor's degree (experience may be substituted at hiring manager's discretion)

  • 3+ years experience in customer service or logistics management

  • A minimum of 2 years of experience in export and/or import operations

  • Practical understanding of US laws and regulations governing exports and imports


Qualifications



  • Excellent communication and problem-solving skills.

  • Ability to manage tasks, deadlines, and projects accurately, effectively, and on time.

  • Comfortable and able to work in an extremely fast-paced, dynamic environment.

  • Able to work in a team environment and independently.

  • Must have great attention to detail and outstanding organizational skills.
