Job Description:

SUMMARY:


The Stores Clerk receives, processes, and ensures the accuracy of incoming stock and material shipments, maintains inventory counts and records, and follows quality control procedures in the Facilities warehouse. Manages and records the issuance of inventory stock to staff through a specified procurement procedure. Drives a University vehicle to pick up goods, parts, and materials at various off-campus vendor locations. The Stores Clerk also secures, organizes, and maintains the warehouse to promote safety and prevent losses.


RESPONSIBILITIES:



Procurement, Distribution and Allocation

  • Provides excellent customer service and communication to staff and customers.
  • Unload and unpack shipments of goods and materials.
  • Oversee the procurement and distribution of products and materials as per the Facilities procedures.
  • Process and record receiving paperwork and data utilizing Brightly CMMS (Computerized Maintenance Management Software).
  • Assists staff with the purchasing and issuance of products, materials, tools, and online requisition forms.
  • Maintains the warehouse email inbox and notify staff of material shipment arrival.
  • Oversee goods, parts, and material pick-up at various off-campus locations as needed for staff.
  • Monitor and ensure the accuracy of inventory stock and counts.
  • Purchase and replenish inventory stock when levels are low.
  • Assists with quarterly and annual inventory.

Facilities Duties

  • Maintains safety and cleanliness of the warehouse and keeps the area secure at all times.
  • All Facilities Employees are expected to exercise behavior in accordance with University Policies as well as with the Facilities Mission and statement of Core Values.
  • Exercise standard protocol in 2-way radio communication system.

WORKING CONDITIONS/PHYSICAL EFFORT:

  • Must be able to lift 80 lbs.
  • Must be able to operate a fork lift and pallet jack.
  • All Facilities Employees are expected to comply with safety standards and demonstrate safe work.

QUALIFICATIONS:

  • Requires a working knowledge of warehousing functions.
  • Requires a working knowledge of computers for data entry requirements necessary with an automated inventory system.
  • Requires experience in dealing with people in a high quality customer service environment.
  • Familiarity with annual inventory procedures preferred.
  • Ability to understand purchase orders, packing slips and other paperwork associated with the procurement process.
  • Ability to work independently and prioritize ones daily work.
  • Must maintain a neat and professional appearance.
  • Must be able to communicate well, both orally and in writing.
  • Must be courteous and professional with all customers and co-workers; must be cooperative with all customers and exercise sound judgment in responding to customers' needs.
  • Must accomplish work while exercising safety standards and guidelines.
  • Required: Must have a valid Driver's License and be able to produce a driving record with a minimum of 3 years of driving history in good standing



EDUCATION & EXPERIENCE:

  • High School diploma or equivalent required.
  • Two or more years of demonstrated experience in a procurement facility.

WORK HOURS:

  • Full-time, non-exempt position
  • Monday - Friday, 7:30 a.m. - 4:00 p.m.; 8 hrs./day; 40 hrs./week
  • All Facilities employees are designated as essential personnel and are subject to work outside the normal work schedule on an emergency basis.

SALARY STRUCTURE:

Pay Grade 3 (Hiring Range $16.37 to $19.24 per hour)
