Tree Care & Plant Health Care Administrative Assistant

The Administrative Assistant will perform various administrative duties and program support within the Tree Care & Plant Health Care Division.
Duties & responsibilities:
Answer phones and handle calls appropriately in a friendly and professional manner Provide first level of screening for project pricing, job minimums and project fit Responsible for keeping abreast of voicemail messages for division Manage and respond timely to email and Timberline website inquiries for division Provide clients with information regarding scheduling or weather-related delays Provide administrative support to the Tree Care & PHC Divisions Processing of new contracts, work orders and sales in CRM software (Aspire) Aid in collecting data related to job and crew performance Billing, scheduling, purchasing, and processing of work Assist BU Leaders with closing out work tickets every month when needed Miscellaneous reporting (building reports in software) when requested by management or sales representatives Data entry of contacts and properties for sales reps and managers Help with Tree Care & PHC Division communications for essential information and meetings Collect payment information including credit card information over phone or collecting checks and communicating to AR about payments Keep digital files organized where they can be easily accessible to team members including proper documentation of chemical applications Provide backup for other administrators during absences or vacationsOther functions as assigned
