Job Summary



Department-Specific Responsibilities


  • Responsible for the management of student services for the Molecular and Cellular Biochemistry Graduate Program; performing the duties of Scheduling Officer, Enrollment Management, Graduate Recruitment, Admissions Coordinator, and Event Coordinator.

  • Serves as first point of contact for students with concerns, and for faculty members with concerns regarding students.

  • Works directly with Director of Graduate Studies and Department Manager on most tasks.

  • Responsible for administrative duties in support of various or multiple student services job families and initiatives, including those involving student life, programming, and support and/or student services administration such as academic advising, financial aid/scholarships, and registrar.

  • May perform occasional duties in support of other university functions or business needs.

  • Provides administrative support for program activities designed to enhance and reinforce academic engagement and experiential learning.

  • Manage graduate enrollment each academic semester.

  • May occasionally prepare and disseminate handouts, presentations, or other materials.

  • Acts as a resource for students and faculty on student services matters.

  • Accurately maintains confidential student records and databases while acting under federal and University information security guidelines.

  • Works with Department Manager and Director of Graduate Studies on all aspects of recruiting potential graduate students, domestic and international.

  • Develops, builds, and maintains the schedule of classes in close association with the Biochemistry DGS.

  • Plans, publicizes, and executes all aspects of events for the department, including graduate student orientation, workshops, award ceremonies, and receptions.

  • Negotiates contracts with vendors, organizes catering, assists with procurement and setup of audio visual and special needs equipment.

  • Selects menus, chooses room formats, and designs diagrams and forms for special setups and registration.

General Responsibilities


  • Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.

  • Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.

  • Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains electronic records and databases.

  • Provides directions, support, and information to student organization representatives and other visitors to the department.

  • Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.

  • May assist with ordering or creation of promotional materials for student organizations or departmental needs.

  • May provide guidance to other Student Services Coordinators.




Qualifications



Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.


EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED)


Preferred



  • Some college or other level of higher education

WORK EXPERIENCE



Required



  • 2 years in office environment, higher education, or related field


Preferred



  • Customer service background

  • Experience working in an education environment

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
