Job Title:Financial Operations CoordinatorDepartment:John Glenn | College Administration

The Financial Operations Coordinator is expected to provide guidance and consultation to faculty, staff, students, and guests on procurement activities including traveling, purchasing, and PCard management. This individual serves as a liaison to multiple offices on campus and is an expert on entering financial transactions into Workday. The Financial Operations Coordinator assists with regular reconciliation activities and makes various accounting entries in the General Ledger. This individual delivers a multitude of building operations and asset administration tasks in collaboration with others in the college and on campus.



Essential Duties


Procurement & PCard Management. Provide guidance and consultation to faculty, staff, students, and guests on purchasing procedures in accordance with university guidelines. Prepare and submit travel and purchase requests. Serve as a liaison to the Business and Finance Procurement Shared Service Center to resolve issues related to travel and purchasing as well to the Travel Office, the PCard Program Office, Accounts Payable, the Bursar, Shipping and Receiving, the Graduate School, and other university offices and units, as necessary. Confirm the payment of invoices, reimbursements, and other payments. Assist new vendors through the vendor setup process and submit vendor maintenance request forms. Develop and deliver formal and informal travel, purchasing, and other fiscal training as needed. Serve as PCard Manager, advise other PCard Managers in following university policies and procedures, and process PCard maintenance request forms. Maintain an OSU (Ohio State University) Amazon Business Account and assist faculty, staff, and students with Amazon purchases as necessary



Participate in the college's regular reconciliation practices and procedures, including performing weekly, monthly, quarterly, and annual tasks as assigned. Complete all scheduled reconciliations fastidiously and on time. Where appropriate, provide suggestions for Reconciliation Operating Plan, Standard Operating Procedures, reporting, or other related changes to advance college reconciliation processes and outcomes.



Initiate payroll accounting adjustments and payroll costing allocation entries for faculty, staff, and students. Manage the Costing Allocation Intake Form and related communications. When appropriate, identify when Payroll Accounting Adjustments are necessary.



Independently process General Ledger transactions on behalf of all college units. Initiate journal entries upon assignment, including, when appropriate, identifying possible journal entries based on reconciliation findings. These include fund transfers and cost center journals. Process all cash and check deposits. Identify and process all cash sales generated from EFTs received at the university level, including independently managing the financial portion of Cvent transfers. Identify and enter accounting adjustments to correct worktags on expense reports. Ensure correct worktags are used when initiating General Ledger activity.



Building Operations and Asset Administration: In collaboration with the Chief Administrative Officer, support facilities operations and administration. Manage brass key access for Glenn College faculty, staff, students, alumni, vendors, contractors, and guests; perform an audit and related follow-up actions quarterly to ensure all access to Page Hall and inside spaces is up to date. Respond to building access requests and assist in managing the Lenel access system, adding and removing access as needed, and facilitate college leadership's required annual review of access list. Coordinate with the Building Coordinator to ensure daily, working hours, in-person coverage of Page Hall. Create surplus initiations as needed to appropriately decommission university property. Coordinate cost center asset tracking activities to include equipment Inventory, overseeing inspection, repair, and replacement and respond to internal and university audits. Serve as organizational email account owner for miscellaneous Glenn College accounts and update member lists as needed.



Perform other duties as assigned.





MINIMUM REQUIRED QUALIFICATIONS


High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.





Desired Qualifications


Workday experience is desirable. This experience could include working in a fiscal assistant or associate role, financial operations coordinator role, office associate role, or another similar role. This experience could also include the processing of financial or business transactions and requisitions
