What We're Looking For:

We seek a highly organized and detail-oriented Executive Assistant to support our CEO comprehensively. The successful candidate will manage the CEO's schedule, coordinate meetings and appointments, handle correspondence, and ensure efficient communication across the executive team. We are looking for an experienced and detail-oriented Executive Assistant who thrives in a fast-paced environment. The ideal candidate will be proactive and strategic, possess exceptional organizational skills, and exert high levels of discretion across all confidential matters touched.

In This Role, You Will:

  • Manage complex calendars, including vetting, prioritizing, and providing recommendations to optimize the CEO's time and productivity.
  • Coordinate travel arrangements as needed and process travel expense reports in a timely manner.
  • Triage and reply to emails, Google comments, Slack channels, and texts promptly and timely.
  • Follow up and provide reminders on project deadlines, to-do items, and deliverables, as well as prepare and coordinate materials for meetings, presentations, and reports.
  • Print, organize, and distribute reading materials effectively.
  • Facilitate large meetings, conferences, and speaking engagements internally and externally.
  • Manage personal arrangements on an ad-hoc basis, such as booking flights, hotel reservations, car service, appointments, etc.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Support Executive Team with planning, meetings, calendars, offsites, etc.

Skills and Qualifications:

  • Bachelor's degree or equivalent practical experience.
  • Minimum five years of administrative experience.
  • Master at everything, Gsuite.
  • Experience supporting multiple leaders and stakeholders with efficacy and accuracy.
  • Strong communication skills and the ability to build strong relationships with both internal and external stakeholders.
  • Experienced at prioritizing leaders' calendars with the ability to make judgment calls and decisions based on a rapidly changing landscape.
  • Demonstrated ability to drive projects and programs to successful completion, including building productive, cross-functional relationships and aligned objectives.
  • Discretion to work with confidential information.

Note: This is an in-office position based out of our New York City headquarters.
