Position reports into: Director, Workplace & Real Estate, People and Corporate Operations

Position Summary:
The Workplace Specialist provides proactive oversight of all facilities, maintenance operations and services at the Lytx India sites. Replies to customer needs, responds to work orders, leads projects and provides input and expertise. As the primary site lead, you are the main contact for all service vendors at the India spoke and hub offices, as well as first on call for security, maintenance and after-hour facilities support. Our ideal candidate is passionate about representing Lytx’s culture and values by providing a great experience to our team, clients, and vendors. What you get to do
Oversee building maintenance, safety and security, while ensuring facilities are well equipped and maintained
Conduct periodic building audits, document, update and bring issues to the attention to team for repair or improvements through submitting building workers and/or raising them to the Lytx Facilities team
Assist with ensuring “as-built” drawings and reservation tool are accurate by reporting changes or discrepancies to Facilities for software updates to Eptura (space and reservation tool)
Submit work orders to site landlord as needed (i.e. temperature adjustments, leaks, etc.)
Meet with onsite vendors as needed
Ensure rooms are maintained; coordinate conference room cleanliness and setup
Print and install signage. Coordinate vendor and in-house installation
Work to keep conference room and digital signage technology in check
Prioritizes and schedules work to ensure site services are completed based on urgency with minimal interruption to operations
Problem solves using expertise, analysis and judgement
Budget, plan and schedule building repairs and small scaled renovations
Provides the evaluation of bids and contracts; create and issue POs as well as resolve invoice discrepancies
Monitor work orders and tracks completion
Works cross-functionally, ensuring prompt customer service on all service requests and projects
Manages furniture reconfigurations, employee moves, and other project work as required at all Lytx sites
Work with teams on event setups and liaise with vendors as needed. Provides room set-up and catering services for scheduled meetings. Ensure the event runs smoothly
Maintains safety and security protocol, beverage services, mail services, supply orders, catering, expense reporting, work orders, security systems, badge creation and other as needed
Liaise with Employee communications to ensure information regarding building closures, construction and other building impacts are communicated correctly. Ensure digital signage messaging is maintained
Communicate and oversee onsite janitorial crew, providing direction to the day porter and to the night crew in order to maintain cleanliness and order throughout the site
Provide “on call” responsibilities for emergency after hour building issues and security 24/7
Ensure all preventative maintenance, necessary maintenance and repairs to the buildings electrical, HVAC and plumbing systems are handled correctly by service providers.
Conducts periodic building audits, documents, updates and brings issues to the attention of management for repair
Oversee emergency and security procedures. Maintain security cameras and building access control.
Participate in safety meetings and activate safety measures.
Ensure that all contractors adhere to safety and security guidelines and perform according to the terms and conditions of their contract
Ensure that all fire, life safety and other safety programs are established and followed.
Provides an exceptional employee experience through ensuring employees are onboarded correctly, answering inquiries, providing wayfinding, providing tours and new hire swag
Provide solutions to problems based on knowledge and best judgment
Special projects may be assigned as needed
All other duties and responsibilities as assigned
What You’ll Need:
Proficient in speaking English and Kannada Language
High School Diploma or GED required; undergraduate degree is a plus
Ability to work independently with minimal supervision
Flexibility to handle changing priorities and projects
Experienced in reading and interpreting building drawings and schematics
Ability to handle multiple projects and make decisions
Excellent customer service skills
Minimum of five years’ experience in vendor management and building maintenance; commercial office experience is a plus
Proficient computer skills in MS Office including Work, Excel, PowerPoint and Outlook
Understanding of OSHA and ADA regulations
Knowledge of computerized work order system operations and basic code requirements
Team player and able to collaborate
Excellent written and communication skills
Experience and discretion in handling confidential information and circumstances
Ability to maintain a calm demeanor in emergencies
Physical Requirements: must be able to lift 50 pounds or more, climb up and down stairs and stand/walk for long periods of time
Ability to travel as needed
