Job Description:

Provides direct hands-on support within a legal office environment, performing various office support tasks such as copying, production, scanning, faxing, mail and shipping, records support, floor support, hospitality assistance, conference room setup, receptionist backup, and light facilities support. This role requires high-level presentation skills, interpersonal etiquette, and customer service skills to interact with senior attorneys, partners, clients, and other stakeholders.


Responsibilities:

  • Understand client matter workflow, including chargebacks for work, supplies, and hours.
  • Familiarity with legal technologies and software (e.g., document management, cost recovery systems).
  • Knowledge of legal records management processes.
  • Understand processes and documents like closing binders, depositions, transcripts, briefs, and court filings.
  • Assist with scheduling equipment, labor, and supplies for offsite trials.

Other Duties and Responsibilities

  • Provide professional support to executive-level end users (legal assistants, firm administration, project managers, paralegals, associates, partners).
  • Accurately produce jobs/projects according to deadlines.
  • Operate copier equipment, fax services, postage meters, and personal computers.
  • Utilize equipment like paper cutters, bindery equipment, joggers, tape machines, stackers, and electric staplers.
  • Handle time-sensitive, confidential documents.
  • Provide quality reproduction, scanning, or project work.
  • Respond to customer inquiries and coordinate task completion.
  • Provide embedded support to specific floors or practice groups.
  • Coordinate offsite projects.
  • Maintain logs for billing and calculate charges for work performed.
  • Track work records for management reports, inventory, and supply ordering.
  • Distribute incoming mail, packages, and office supplies.
  • Deliver completed reproduction work to designated areas, possibly involving travel between locations.
  • Handle shipping and receiving duties.
  • Perform filing, scanning, file conversion, file naming, and encryption tasks.
  • Perform FTP between computers for printing.
  • Manage Tables of Contents for electronic files.
  • Perform OCR file processing for keyword searches.
  • Format files for printing using Microsoft Office Suite and Adobe Acrobat Pro.
  • Conduct daily quality checks on convenience copiers.
  • Respond to copier errors and paper jams.
  • Maintain daily meter and service logs.
  • Stock and organize copier areas.
  • Manage and organize conference rooms.
  • Assist with box moves, office moves, and occupant moves.
  • Assist with light maintenance duties.
  • Perform occasional cleaning duties.
  • May require overtime on nights/weekends and off-hour emergency response.
  • Perform other assigned duties.

Qualifications:

  • High school diploma or GED required.
  • 1-2 years of related work experience required.
  • Minimum of 2 years’ experience in the legal industry preferred.
  • Excellent customer service, personal, and communication skills required.
  • Valid driver’s license and auto insurance may be required per RICOH policy.
  • Knowledge of copier and related equipment preferred.
  • Understanding of shipping/receiving procedures required.
  • Basic electronics knowledge preferred.
  • Ability to work independently and flexibly.
  • Strong troubleshooting and problem-solving skills.
  • Excellent customer relations and verbal communication skills.
