Job Summary



Department-Specific Responsibilities


  • Provides a high level of program management, communications, operational, and administrative leadership.

  • Provides project, events, operational, and administrative support to the Dean's Office and departments within the IU School of Liberal Arts.

  • Performs supervisory responsibilities on the Administrative Shared Services Team.

  • Reports to the Academic and Operations Manager.

  • Identifies operational issues and/or areas of improvement and implements solutions to improve processes and operational efficiency.

  • Develops, plans, and directs special projects and events.

  • Demonstrates a high level of systems knowledge and adaptability.

  • Establishes work priorities, conducts performance reviews, and provides corrective action of assigned staff as needed.

  • Communicates organizational needs, educates, and develops assigned staff members.

  • Manages professional relationships among the team members.

  • Manages faculty searches including HR systems, candidate communications, interview logistics, and search committee support.

  • Provides administrative support for faculty annual reports and reviews.

  • Provides project, meeting, and limited technical system support to associate deans, faculty committees, and/or departments (e.g., Canvas, CARMin, Microsoft Teams).

  • Partners with the Communications and Marketing department on School-wide communications.

  • Supports the School of Liberal Arts annual awards process.

  • Files and/or digitally archives School materials as applicable.

General Responsibilities


  • Provides experienced assistance with project management activities, resource allocation, and communication.

  • Develops a schedule designed to meet necessary deadlines and communicates with team members.

  • Monitors project progress and handles highly complex issues that arise.

  • Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.

  • Allocates tasks and assignments to lower-level appointed staff and monitors their performance.

  • Performs a variety of administrative skills and prepares correspondence related to the project.

Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.


EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED).


Preferred



  • Bachelor's degree in business, management, communications, or related field.

WORK EXPERIENCE



Required



  • 4 years of relevant experience.


Preferred





  • Supervisory experience.

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

$45,000 - $50,149 per year based on experience.
