College/Department Information


The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.



Job Summary


Manages the daily operational tasks of four clinics in collaboration with the Dental College of GA (DCG) Business/Finance department. Management includes personnel, purchasing, travel, payroll, financial reconciliations, building requests, clinical needs, system directions, forms, research support, inventory, etc. Clinic SOP development and maintenance. CODA requirement oversight.



Responsibilities


The duties include, but are not limited to:




CLINICAL and ADMINISTRATIVE OPERATIONS:
Manages all facets and phases of clinical operations administrative management for the clinics they oversee in collaboration with the chairman and program director. To include patient scheduling for faculty & residents, patient flow, supervision of clinical staff to include dental assistants and clinic support specialists, department inventory to include supplies & equipment, etc. Manage clinic departmental budgets. Responsible for clinic production and revenue to ensure financial goals. Provide high-level customer service to patients, staff, faculty, residents, students, and outside partners.




DEPARTMENT CHAIR and FACULTY:
Support and advisory to the Chairman & faculty for four departments. Manages and improves the non-clinical business processes of the clinics by ensuring continuity, integration of policies and procedures within the organizations' mission and strategic plan. Develop and implement clinic business policies and procedures to ensure proper working controls. Support the departments academic, research, and service agendas with guidance from the Chairman.




FINANCE AND BUDGET:
Critical analysis and tracking of all financial and budgetary information to include monitoring expenses, purchases, and oversight of data entry, Prepare & review reconciliation reports for all funding sources within the clinics they oversee to include projects/grants, foundations, dental associates, CE, DSS, RI, Indirect, etc. of expense accounts. Submit to the department Chairmen and Business/Finance department. This includes the overall budget status report and detail report of items purchased compared to the purchase log.




PERSONNEL:
Personnel management to include interviewing, hiring, disciplinary actions if needed, staff requests/questions, evaluations. Must remain professional, courteous, and confidential on all personnel actions. Mentor and advance staff for growth and leadership opportunities. Be an example of high customer service standards to individuals inside & outside DCG.




POLICIES AND PROCEDURES:
Remain informed of all travel policies and procedures. Review and approve travel forms and submit them to the Travel Office in a timely manner. Follow up as needed to ensure prompt reimbursement of travel to employees. Stay knowledgeable and apply purchasing policies and guidelines to oversee all purchasing of the four clinics they manage. Review and approve orders in Peoplesoft via requisition in the system and paper requisitions and IDRs in conjunction with the purchasing policies. Ensure the items being purchased are justified and allowable purchases. Follow up as needed to ensure the clinics have all supplies needed.




SPECIAL PROJECTS:
Develops, plans, and directs special projects which may include space requests, staffing, equipment purchases, contracts/agreement approvals, strategic plans for clinics, etc. Answer all inquiries from the clinics regarding clinical and non-clinical business processes and procedures.




OTHER DUTIES:
Perform all other job-related duties as assigned.



Required Qualifications


Bachelor's degree from an accredited college or university in Business Administration or related field. Five years of office management experience, to include supervisory.



Preferred Qualifications


Masters degree preferred. Extensive office management experience in clinical setting to include finance and clinical operations



Knowledge, Skills, & Abilities



KNOWLEDGE

The ability to make solid independent business and clinical decisions on the behalf of four clinics. Financial and budget knowledge required. Professional and confidential at all times. Dental clinical knowledge needed.



SKILLS

This position has critical operations oversight and decision-making authority over four clinics. It will direct and implement policies and procedures in conjunction with the associate dean of business/finance. These decisions will ensure the clinics prosper from a business perspective and in clinical patient care.



ABILITIES

The position will work in conjunction with the DCG operations dean and directors. Must demonstrate confidentiality and professionalism in all interactions. Must be a strong leader to guide the clinics. May have interaction with all levels of individuals in and outside DCG to include patients, students, residents, faculty & staff.



Shift/Salary/Benefits


Shift: Days/M-F (Work outside of normal business hours may be required)


Pay Grade: 18


Salary: Minimum $48,341/annually - Midpoint $65,260/annually


Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum midpoint) of the position.
