Reporting to the AP Manager based in our Princeton, NJ office, the AP Supervisor will lead a team of AP Analysts/Sr Analysts and will lead processing, verifying and reconciling vendor invoices according to established policies and procedures in an efficient, timely and accurate manner. You will work within a dynamic, fast paced AP setting and will strive to build relationships with business colleagues and coach team members to work to a high standard of accuracy and efficiency. You Will:
Train and oversee direct reports
Assign tasks and assist team members
Assist with team's performance evaluation
Complete regular monitoring of Open Payables to ensure timely payments of invoices and reduction of aged balances
Ensure timely review and approval of all new vendors and any requested changes to vendor records in line with our compliance policy
Handle daily review and monitoring of new vendor log to ensure that any errors are fixed promptly and vendors are registered in the AP system
Perform monthly accounts reconciliation for all relevant AP accounts for management review
Review reconciliation of the invoice interfaces to ensure accuracy and promptly address any errors/failures are fixed
Assist with 1042 and 1099 tax compliance reporting
Review daily pay cycle reconciliation and address any issues promptly
Run manual pay cycles
Work with the Treasury team on identifying payment failures and returns, and liaise with business contacts and vendors to ensure prompt payment reissue
Regularly monitor the Accounts Payable mailbox ensuring AP Analysts are responding to queries in a timely and professional manner
Assist with gathering document support for SOX and financial audits
Produce weekly invoice workbench reports
Oversee Harper Collins vendor management process
Analyze current processes and recommend improvements
Perform other related duties as assigned by PTP management
You Have:
5+ years Accounts Payable experience
Current or prior SAP experience required
Excellent written and verbal communication skills
Strong organizational and prioritization skills
Ability to engage and motivate team members
Sound knowledge of general accounting principles, regulatory standards and compliance requirements
In-depth knowledge and experience in global payment processing and related processes
Strong analytical skills to solve technical and non-technical daily issues affecting the AP process
Demonstrated commitment to continuous improvement and a proactive approach to problem-solving
