As the Executive Assistant to the Head of Marketing your role will be to support the Head of Marketing and his leadership team. You will drive calendar management, coordinate travel, run meetings, generate presentations and reports, edit and manage communications and perform general office work or errands as needed. You should have the ability to work independently and proactively on projects, from conception to completion, and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion. You'll be a team player with a natural desire to help people and get involved.



Responsibilities:



• Provide accurate and timely administrative assistance to the Head of Marketing and support for Marketing leadership team
• Schedule and manage department staff, strategy and program review meetings; publishing agendas, capturing decisions and actions, distributing minutes and following up on actions to drive closure
• Drive presentation preparation with content area owners for monthly review meetings and Board of Director meetings
• Proactively anticipate and track critical dates, events, and associated milestones or deadlines
• Prepare and consolidate daily schedules and checklists
• Generate and distribute department status reports and maintain indicators
• Track, reconcile and report individual and department expenses
• Read, sort/filter email inbox and flag most important and urgent emails; handle responses to assigned emails
• Coordinate, manage and execute various ad-hoc projects, ensuring that the project plan tasks, schedules, estimates, and status updates are maintained
• Work on tasks that can be complex in nature and require considerable judgment, initiative and knowledge to resolve problems and recommend solutions
• Manage duties such as ordering office supplies and coordinating miscellaneous office services when required
• Organize digital and printed documents
• Tackle errands such as mailing shipments, lunches for meetings, etc.
• Serve as informal "team culture captain" fostering teamwork, collaboration and employee engagement



Qualifications and Attributes:



• At least 4 years of relevant professional experience supporting top level executives preferably within a global organization
• 1-2 years of lead experience
• Bachelor's degree preferred
• Detail-oriented and exceptionally organized
• Demonstrated project management skills
• Results driven with strong problem solving and analytical skills
• Thorough and tenacious, determined to find answers
• Demonstrated customer service focus with superior customer service skills
• Excellent oral and written communication skills and ability to interact on a professional level with internal and external personnel
• Comfortable handling tedious daily tasks as well as applying your creativity to numerous special projects
• Ability to work in a fast-paced environment and manage changing priorities effectively
• Strong critical thinking skills and keen judgment
• Ability to take initiative with limited supervision while also being able to accept direction on given assignments
• Confident, organized, enthusiastic and able to contribute to a positive work environment
• High level of proficiency in MS Office Suite (Outlook, PowerPoint, Word and Excel)
• Fanatical attention to accuracy and detail


Position is onsite and will require 5 days onsite at our HQ office located off Southwest Parkway in Austin, TX.
