The Administrative Assistant provides comprehensive administrative support for the Associate Dean for Academic Affairs and the Associate Dean of Student Life & Operations and the offices of academic and student affairs at the School of Law. This position requires an ability to handle various projects simultaneously and excellent administrative, secretarial, interpersonal, and organizational skills. This position requires a commitment to confidentiality and discretion and an ability to work effectively with students and other departments throughout the School of Law.

Office Administration

  • Provide complete administrative support for the Associate Deans.
  • Serve as a channel of communication between students, faculty and staff and the Associate Deans.
  • Provide assistance using independent judgment to determine items requiring priority attention.
  • Provide timely communication and administrative messages to law students, faculty, and staff.
  • Process payment request vouchers and credit card transactions in accordance with established departmental and University procedures.
  • Monitor and track budget expenditures following University procedures.
  • Maintain office files and official communications, including records and files needed for School of Law accreditation, those considered student academic records under FERPA, Faculty research stipend records and course evaluations, course descriptions, schedules, student academic letters, and variance requests.
  • Maintain, publish, and distribute the Student Handbook, Faculty, and Adjunct Faculty Handbooks.

Faculty and Adjunct Support

  • Assist with planning and travel arrangements for faculty development speakers and in support of new faculty hiring.
  • Serve as administrative liaison to Adjunct Professors on administrative matters as needed.
  • Plan and coordinate annul Adjunct faculty reception.
  • Maintain accurate records of all faculty meetings.
  • Track and format Adjunct Professor exams.

Academic Records

  • Process paperwork for student academic issues and other concerns including requests for academic variances and accommodations, visiting enrollment other law schools, academic probation and dismissal, Honor Board investigations, and summer research assistant positions.
  • Access and obtain student academic records including schedules, transcripts, and emergency contact information as needed by the Associate Deans.
  • Maintain discretion and confidentially in compliance with FERPA and University policies.
  • Assist with the implementation of disability accommodations, including exams with non-standard testing accommodations.
  • Update the Roger Williams University School of Law Student Handbook on an annual basis.

Event and Meeting Support

  • Coordinate office events, including all aspects of event planning, registration, and event support.
  • Provide support before and after events for departmental events.

Additional Functions

  • Update website for Offices of Academic Affairs, Student Affairs and Operations.
  • Hire and supervise student workers.
  • Support the Office of the Dean, as needed.


Job Requirements:
  • Associate's degree
  • Five years of progressively responsible administrative experience.
  • Intermediate proficiency using Microsoft Office applications and in the use of the Internet, with the capability of learning a variety of other computer applications, as needed.

Preferred Qualifications

  • Bachelor's degree or a minimum of five years of relevant experience.
  • Experience in a legal office or higher education organization.
  • Demonstrated ability or training on interactions with diverse student bodies and adult learners.

At the University's discretion, the education and experience prerequisites may be accepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
