About the role:



This position will support the Annuities Service Organization and will be based in Dresher, PA.

 The successful candidate for this position will provide the following administrative support:



  • Proactively manages Executives’ calendars, including scheduling large and/or complex meetings with key customers, teams or high-level executives

  • Manage Executives’ travel schedules, arrangements and itineraries in a timely, detailed and organized manner

  • Strong experience supporting remote teams/execs across multiple locations and collaborating virtually. 

  • Screening and where possible, responding appropriately to emails on increasingly complex matters, in a manner that reflects an ability to discern between critical and less urgent matters

  • Effectively managing the process for business expenses and invoices

  • Initiate and follow up on procurement requests (ordering hardware/software, phone requests, on-boarding new hires/transfers, etc.)

  • Preparing/updating Microsoft Office suite documents including but not limited to PowerPoint, Word documents, and Excel worksheets

  • Coordinating special projects with a high degree of efficiency

  • Maintaining electronic and paper files and reports in accordance with the Company's records retention guidelines

  • Identifying administrative needs for the organization and initiating projects to support those needs

  • Perform other administrative support duties, as appropriate

  • 5+ years administrative assistant experience

  • Excellent proficiency in Outlook, Microsoft Word, Power Point and Excel

  • Strong verbal and communications skills

  • Strong organizational skills and ability to manage small projects

  • Strong prioritization skills and ability to multi-task

  • Ability to work in a fast paced and evolving environment

  • Ability to take initiative and anticipate the needs of Principals

  • Flexibility to work overtime as required

  • High degree of professionalism, strong work ethic and a sense of responsibility

  • Successful track record of working independently in fast paced environment

  • Ability to partner positively with a team of professional Executive Assistants for office coverage and calendar planning
