Position Title: Human Resources Assistant

Reports To: Human Resources Manager
Position Summary: The Human Resource Assistant will assist with the day-to-day operations of the Human Resources Department. They will help to carry out responsibilities in some or all of the following functional areas: recruitment and onboarding, benefits, HRIS, compliance, training and development, employment, and employee relations.
Duties and Responsibilities:
Assist with the day-to-day operations of the Human Resources Department.
Answer phones and help employees with inquiries.
Prepare letters and correspondences.
Make up benefit and orientation packets, etc.
Manage department invoices.
Complete verifications of employment and requests of information.
Help with department mailings.
HRIS/File Maintenance
Maintain confidential employee files- personnel, medical, I-9, background checks, EEOC and leave.
Ensure all paperwork received is either scanned and stored electronically and/or filed in the employee's hard copy file.
Assist with the maintenance of the HRIS system and EMR system helping to make sure all transactions are done in a timely fashion (job postings, new hires, status changes, terminations, etc.)
Run reports as directed.
Recruitment/Onboarding/Orientation
Assist with job postings (internal and external).
Perform reference checks/all background checks including criminal, exclusion lists on employees and volunteers, and Independent Contractors, as appropriate.
Conduct checks for current registrations/certifications for clinicians and HHAs on appropriate sites.
Assist with orientation as directed.
Review professional and health credentials with the assistance of PI, as directed.
Manage fingerprinting process for all HHAs and CHRC/HHA Registry checks.
Benefits Administration
Assist with the administration of all benefit/retirement plans, including but not limited to medical, dental, FSA, AFLAC, Life/ADD, and 403(b), including enrollments and terminations.
Process required documents both, external through insurance providers to ensure accurate record keeping and internal to ensure proper payroll deductions.
Assist in responding to benefit inquiries from managers and employees on plan provisions, benefit enrollments, status changes and other general inquiries.
Assist with the annual open enrollment process for all plans.
FMLA/DBL Administration
Assist with the process and administer paperwork/record keeping for FMLA leaves and other LOAs.
Ensure that employees who are out ill receive disability paperwork and FMLA paperwork, if applicable.
Off-Boarding
Inform appropriate departments of terminating employees and process termination.
Assist with the coordination of COBRA.
Compliance
Run reports and track Annual Health Documents, etc.
Assist with other tracking for, but not limited to, PPD's, CPR, Professional Licenses, and malpractice insurance.
Employee adheres to all applicable federal, state, local laws and regulations.
Other duties as assigned.
