POSITION INFORMATION: Provides professional staff support in grant proposal submission activities. Responsibilities are performed under general supervision and consist of mid-level research program management duties that require a firm understanding of research administration concepts, guidelines, principles and practices; coordinates duties with established OU HSC research administration and financial management programs, policies and guidelines; tasks require a high level of organizational skills and the exercise of discretion and ability to ask the right questions to determine proper course of action while following established standards. Knowledge of pre-award grant submission process and federal application requirements. Duties include proposal development support.
REPRESENTATIVE DUTIES:
Document Preparation. Performs proposal submission support under general supervision. Prepares necessary documents pertaining to proposal and continuing grant applications, including drafting and assisting with proposal budgets. Distributes documents to Principal Investigators and appropriate University offices. Prepares various reports utilizing databases, spreadsheets and word processing software. Assists faculty with the development of proposal submission timelines and task lists.
Organization. Maintains office records (administrative). Ensures files are continuously updated and prepared for audits.
Communication/Correspondence. Prepares paperwork and boilerplate application language for use by members. Communicates with Principal Investigators and the University Office of Research Administration regarding proposal submissions. Presents information regarding proposal submissions to groups. Attends proposal planning meetings and proposal writing groups, as needed.
Analysis. Conducts analysis of RFP's, RFA's, and PA's to ensure applications comply with sponsor requirements.
Report Preparation. Assists with the report preparation and/or submission of reports to sponsors, Research Programs, and Leadership.
Research. Performs various forms of research, information gathering, problem solving and interpretation of policies and procedures related to grant and contract proposals. Assists in office efforts to identify funding opportunities.
Records Maintenance. Maintains records that may be of a confidential nature such as research plans and budgetary records.
Data Entry. Transcribes and verifies data from source documents to maintain database of current and pending proposals.
As Needed. Performs various duties as needed to successfully fulfill the function of the position.
Education: Bachelors Degree in Business Administration, Accounting, Finance, or related field
Experience: 24 months experience in proposal submission and/or research administration
Equivalent/Substitution: 48 months experience in proposal submissions and/or research administration in lieu of the Bachelor’s Degree for a total of 72 months experience
