Coordinates departmental activities through effective communication and information management in the computer applications. Interacts and communicates with team members and external customers. Provides clerical support to the department.

Responsibilities

A day in the life of a Secretary III at Hackensack Meridian Health includes:

Appointments are made within departmental guidelines.

Verifies company contact and billing information.
-
Urgent requests or inability to provide an appointment within the time frame requested are referred to the nurse, provider or leader promptly.
-
Calls clinic no shows and cancellations.
-
Indicates reason for same in appointment memo.
-
Oversees random drug screen pools.
-
Opens and distributes mail promptly.
-
Posts charges for all customers within 24 hours of appointment or in preparation for monthly close (by the end of the business day).
-
Reviews diagnosis codes for completion & if missing communicates issues to provider.
-
Refers to the company profiles and/or flow sheets to ensure correct billing information.
-
Updates customer profile information whenever changes are found with the assistance of Corporate Occupational Health or leader as required.
-
Data is entered accurately for all required fields in accordance with visit type.
-
Maintains OSHA log for all internal customers.
-
Ensures Physical Therapy authorization process is complete.
-
Creates new company profiles
-
Documents are scanned and attached or attached via PDF from Right Fax in the EMR using correct task ID.
-
Faxes appropriate documentation to insurance carriers and employers.
-
Reviews Patient Orders Tracking and HCFA pre-process audit reports daily.
-
Reviews Duplicate ID report weekly.
-
Reviews Tracking Charge Analysis report weekly.
-
Prepares and reviews other reports as requested by leader.
-
Flow sheet for clinic and physical therapy and the appointment schedule are printed for the preceding business day.
-
Review flow sheets for additional information (e.g.; employer contact).
-
Retrieves medical records (e.g.: ED notes, diagnostic testing results).
-
Requests for release of medical records are handled timely and accurately for internal and external customers, including attorney requests.
-
Attaches Meridian Care Link team member incident report.
-
Required information is communicated to the appropriate party in a prompt, accurate manner.
-
In advance prepares document packets if EMR is not accessible (power failure, IT issue),

Maintains par levels of office supplies.
-
Ensures office equipment (copier, fax) is in good working order; toner, paper.
-
Contact vendor for service
-
Customers are greeted promptly upon arrival in a friendly receptive manner.
-
Maintains the Patient Log for visit reconciliation.
-
Clinic team members are notified of the arrival to facilitate the process for the customer.
-
Customers are provided with appropriate forms /documentation to be completed or reviewed upon arrival.
-
Obtains copy of photo ID as required.
-
Ensures copy of photo ID is destroyed at the end of the business day.
-
Observes waiting area for customer needs.
-
Follows cash collection procedure
-
Takes phone off voice mail promptly- notes and distributes messages.
-
Alters greeting to match business operations (e.g.: holiday closing).
-
Telephone calls are answered promptly with a greeting that identifies name and the department.
-
Calls are screened and messages are taken and recorded accurately.
-
Telephones are placed on voicemail at the end of the business day.

Qualifications


- High School Diploma or GED required
- General computer skills, including basic proficiency with Microsoft Office.
