The College of Professional and Continuing Studies seeks to fill the position of Program Assistant III within the Division of Lifelong Learning Programs. This position will provide administrative support to the EDI program and others within the division, serving a wide array of student and client populations. Responsibilities will include:
1. Academic Advising – Reviewing and Approving/Rejecting applications to the program, reviewing enrollment to ensure participants complete the program, ad hoc student advising (phone, in-person or email)
2. On-site event logistics (prior to, during and after the event, including creating and maintaining lists and reports, creating and posting various signage, ordering supplies, packing, on-site advising and ad hoc enrollment changes, assigning mentors and coordinating mentoring program and Lunch & Learn sessions, printing student rosters and registration materials, printing sign-in sheets, graduation gifts and diplomas, working the registration desk
3. Managing course materials – collecting PowerPoint files from instructors, compiling course books, creating print requests, uploading course materials to EDI database, managing course materials requests fulfillment, troubleshooting downloading issues, and distributing pre-reads
4. EBMS support – reporting of variances between EDI and EBMS databases, troubleshooting issues (duplicate or incorrect billings, profile variances, etc.)
5. EDI Database support – troubleshooting issues, participant support (how-tos, password resets, ad hoc profile updates, etc.), progressing participants in the EDI database as they complete their coursework, pulling transcripts (also from Document Manager, for pre-2001 transcripts)
6. Participant support – varied reporting, creating Canvas accounts, adding participants to Canvas courses, identifying and working to resolve participant academic issues
7. Administrative – answering and/or routing calls and visitors, maintaining EDI mailbox, delivering and retrieving mail, ordering supplies
8. IEDC Manual sales support (maintaining stock, fulfilling orders, creating PIFs, etc.)
9. Microsoft Office Applications – Uses a working knowledge of MS Office to create, revise, format and produce a variety of documents and reports
10. Provide support for other Lifelong Learning programs as requested: OU Lean, Blowout Prevention, Laurance Reid, Corrosion Control Course and Gas Compressor Short Course, OLLI, Precollegiate Programs
