City Experiences is seeking an Office Manager for our City Ferry operation in Puerto Rico.

About the Opportunity:

The Office Manager at the Main Office in Puerto Rico provides general administrative support, coordination and project specific assistance to the  Director of Operations and other senior management staff, employees, and client for Puerto  Rico. Duties include, but are not limited to, performing a variety of general office and administrative functions as assigned by the Director and other senior management staff, Division Office, or Corporate office personnel. The Main Office - Office Manager provides direct support to the Office Managers at the Metro and Island Service offices and at the Maintenance Facility.

Essential Duties & Responsibilities:


  • Provide supervisory support to the Office Managers at the Metro and Island Service offices, ticket office management to include ticket agent staffing, scheduling, HR, ticket system training, ticket agent training, mentoring, counseling, and

  • Provide ticketing system administrative oversight and support to include Point of Sale (POS) ticket system, Inspector Devices, online and phone apps, cash drawer reconciliation, and system reports; ensure identified updates and improvements are processed timely; must be prepared to work in Ticket Agent role if

  • Coordinate and schedule meetings via MS Outlook and any other applicable site calendar(s)

  • Assist with administration of Human Resources related tasks as defined and distributed by Corporate Human Resources and/or the Director of Operations, including but not limited to: new employee orientations, communication of policies and processes, disciplinary action and termination paperwork processing, assist with insurance enrollments, submission of payroll information, and documentation to Corporate Payroll

  • Assemble Employee Handbooks and Crew Training Binders as needed, as well as assist with and administer employee training as required and lead the input of information into the training database.

  • Assist with development and management of routine correspondence and any other required documentation as requested by the Director of Operations and Account Manager. Proofread, and edit materials as

  • Assist with client billings and maintenance of AR

  • Develop, administer, maintain and enforce all aspects of

  • Manage and update operations budget on continual basis; ensure budget and applicable reports are available upon

  • Present professional level of customer service and appearance to all clients, both internal and external; serves as Company contact, along with Director of Operations, to client and guests/passengers.

  • Must work well with employees at all levels of the

  • Produce and manage External and internal reports in accordance with the MTA service agreement and as directed by Director of Operations and Account

  • Create reports in various programs, primarily MS Excel, in order to maintain organization of office for both self and Director of Operations to include: tracking, site information maintenance and analysis, and ability to have reports/info on-hand if requested at a moment’s notice.

  • Manage site filing and organization to include: maintenance of Company files of all types, sort and distribute mail, maintain clean and efficient office operation, maintain office supplies (to include postage and shipping/mailings), answer phones, and handle day-to-day issues for site.

Requirements & Qualifications: 


  • Demonstrated knowledge of general office etiquette and processes

  • Excellent written and verbal communication skills with employees at all levels of the organization

  • Proficient with Microsoft Office Suite

  • Must have outgoing personality and willing to train groups of employees, as well as serve as liaison with both vendors and the Company’s client

  • Must be organized and able to maintain an efficient office environment

  • Must be proactive – able to anticipate needs of the Director of Operations, employees, HR, etc. and act accordingly

  • Must be willing to work in as well as adapt to an ever-changing work environment

  • Must have maintain a positive attitude

  • Must demonstrate high level of reliability, be able to prioritize multiple tasks and be attentive to detail

  • Advanced skills in Excel, Word, PowerPoint, Outlook

  • Minimum five (5) years’ experience in similar role; role within Maritime, Construction, or Maintenance industries preferred

  • HS Diploma

  • Bachelor’s Degree, from an Accredited Institution, preferred
