Key Responsibilities and Duties:

  • Oversee all efforts directed at retaining and graduating undergraduates, with specific focus on 1st to 2nd year retention and 5th/6th year graduation rate. 

Retention

  • Oversees all efforts directed at retaining students each semester. This includes supporting student LOA returns, aiding students in identifying and clearing holds, and supporting unregistered students.

Academic Support Program


  • Assesses academic progress of students (GPA and Credit Hours Earned). Works with the Promotions Committee to determine student Academic Standing. Works with the Appeals Committee to address appeals.

  • Over-sees operations of the Academic Support Program (ASP) to support students put on academic warning or academic probation. Advises a caseload of academic probation and academic warning students.

  • Identifies students in marginally good standing. Guides the Advising Network to engage these ‘Watch’ students and offer ASP program support.

5th & 6th Year Graduation Rate


  • Aggressively monitors and advises to degree completion all undergraduate students in their 6th year of study. Develops and implements plans to monitor students in their 5th year of study. Collaborates with students, faculty advisors, and registrar to maximize the likelihood of degree completion.

  • Works proactively with students to ensure that those who can complete their degrees in their 5th or 6th year do so expeditiously; advises students of options for completing degree requirements through alternate means such as summer semesters or transfer credit.

Advising Community Student Data Sharing & Work Effort Coordination


  • Works with the registrar to source data required to focus the efforts of the advising network (unregistered students, under-enrolled students, students with satisfactory academic progress issues, etc).

  • Coordinates efforts with other relevant groups on campus: faculty advisors, advising support staff, office of student life, and residence life.

  • Generates reports to focus the efforts of, and assist, the advising network.

Advising Support System

  • Supports the deployment and maintenance of WorkDay Student and DuckSuccess to support advising network operations and to improve transparency of activities and results.

Advising Best Practices


  • Participates in professional societies with a goal of learning best advising practices across academia.

  • Works with OIR and Pharos360 to determine characteristics of retained and not retained students, and to identify high retention risk groups. Develops retention programs for the high risk groups.

General Undergraduate Academics Office Support Services


  • Fields Academic Concerns submitted by students. Orchestrates a constructive community response.

  • Provides advising services to students (including Early Warning System, Academic Support Program, physical and virtual office ‘walk-ins’, eMail ‘walk-ins’).

  • Manages honor board appeals process. Advise students regarding their rights; convenes the appeals committee; facilitates final level of appeals with the Vice Provost of Academic Innovation & Faculty Affairs.

Knowledge, Skills and Abilities:


  • Master’s degree in Higher Education or related field preferred. Bachelor’s degree required.

  • Experience advising students, with particular emphasis on student retention and graduation success focused operations.

  • Ability to multi-task a must; position will require work on projects while also advising students.

  • Strong written and oral communication skills.

  • Strong project management and planning skills. 

  • Strong leadership and collaboration skills.

  • Understanding of student records systems such as SIS or WorkDay Student. Understanding of student advising support systems such as Phoenix360. Experience with query report generation services preferred.

  • Proficient in use of office productivity tools.
