Sales Coordinator, International - Remote 

Location:  Kohler, WI or Remote 


The Sales Coordinator is responsible for the full coordination and execution of all activities for the effective processing of customer requirements as they relate to planning, production scheduling, as well as coordinating all administrative activities related to the receipt, entry, acknowledgment, and shipment of customer orders on schedule.  This position incorporates an effective association between key disciplines such as Sales, Marketing, Manufacturing, Credit Department, Logistics, and Materials, as well as a strong commitment to focus on providing complete customer satisfaction relative to open order status and post sale activities involving customer returns, credits, deductions, and production concerns, etc.  Heavy emphasis is placed on the full exploitation of SAP functionality.

The Sales Coordinator has demonstrated the capabilities and expertise of dealing with all facets of customers, and has a broad knowledge of the Customer Service functions pertaining to engines, service parts, debits/credits, MRP data interpretation, and on-line schedule extraction.  This position clearly exhibits the professional skills required to accompany upper management to customer facilities, trade shows, and other customer events as suggested by management. 

Specific Responsibilities

  • Communicate effectively with OEMs/Distributors to enter and execute engine orders resulting in the customer receiving product in correlation to their production schedules. 

  • Communicate effectively with OEMs/Distributors to enter and execute parts orders resulting in the customer receiving product in correlation to their service requirements to dealers and  other service outlets.

  • Assist customers with product availability, open order status, pricing inquiries, backorder information, and any general information that pertains to each individual customer. 

  • Advise customers of special incentive programs, load planning techniques, product holds, and resolve any order discrepancies that may have occurred due to shipping errors, production down-time, and frozen time frames.

  • Work closely with all shipping departments to ensure customer shipments include the proper identification, barcoding capabilities, and necessary documentation for customers to receive product successfully.

  • Acquire expertise and familiarity with container-load, third-party direct ship processes for correct invoicing, and product mix/match.

  • Work closely with Material Planners and Service Warehouse personnel in the special packaging, kit features, super sessions and unique labeling requirements for individual customer shipments, and align these shipments according to the weekly pick/ship schedules.

  • Update management on month-end situations as a result of customers' non-commitment to pick up product which can affect our month-end targets.

  • Communicate electronically with customers by utilizing their websites, electronic data interchange, and portals to establish accurate order information and carrier preference. Post-shipment also can include providing Advanced Shipment Notices (ASN's) if customer's expectations include data entry by Sales Coordinators.

  • Collaborate with the Credit Department in the timely release of orders for customers who are considered "credit" risks, assuring the receipt of payments. In addition, work with the Credit Department to reconcile and investigate customer short-pays resulting in the resolution of the dispute.

  • Participate in customer visit meetings, either at Kohler or at the customer's place of business, and promote Kohler business practices that will provide the utmost customer service.

  • Analyze customer order changes and work with the Engine Schedulers to determine if changes can be accommodated in the production schedule. Communicate results to customer.

  • Collaborate and communicate with Marketing Management regarding unique service parts requirements and special pricing decisions to attract future business.  

  • Attend SAP updates/classes that pertain to the Customer Service / Supply Chain roles, and utilize new SAP functionality to improve order entry efficiencies for customer satisfaction.

  • Prioritize and accept ownership of LOTIF (Lines on Time in Full) for 95% goal achievement.

  • Collaborate with Engine Quality Planning in the prioritization of engine rework to avoid customer downtime and avoid customer visibility to an internal quality issue.

  • Become fully educated on what constitutes "hazardous shipments" and work with Engineering/Shipping to follow the special guidelines for shipping this product.

  • Participate in the Engine Corrective Action System workflow for product returns due to defects/damage. 

  • Update customers on delicate issues such as capacity constraints, quality holds, credit concerns, and other unpredictable roadblocks to shipping out sales orders.

  • Eliminate and prevent any/all line down situations at OEM's by coordinating shipments and order fulfillment on time.


Minimum of a high school diploma and five years of customer service/order entry function. Associates or Bachelors degree is a strong plus.

  • Excellent knowledge of computer skills, especially Word, Excel, and database entry.

  • Minimum of (3) years of SAP experience is preferred.

  • International Experience is strongly preferred.
