Job Description
The primary function of the Reception Coordinator at Nelson’s Green Brier Distillery (NGBD) is to manage the NGBD office and reception desk. The role will work cross-functionally between Hospitality, Operations, Sales, PR and Marketing to accomplish each department's administrative needs. This role is an amazing opportunity to work across multiple NGBD teams as well as across the broader Constellation Brands organization.
Responsibilities:
Operate as the “front-line” of our world-class hospitality department by providing guests, partners and visitors with the most up-to-date, consistent and accurate information regarding our distillery location, offerings and operational details. Assist Hospitality team in making changes to reservations and bookings.
Embrace being the “heartbeat” of the distillery location by facilitating effective communication across all functions of the business, keeping an up-to-date NGBD employee list.
Keep diligent meeting minutes for NGBD Management Team and in-house leadership meetings. Create and co-maintain company calendars to provide collaboration between operating teams.
Responsible for compliance with CBI sustainability policies and practices which are economically viable, socially acceptable and environmentally sound. This is done by supporting programs at each location for conservation, energy efficiency and recycling which are critical for our operations to achieve tangible environmental results.
Keep a list of all vendors that do business with NGBD including cleaning, maintenance and contractors and ensure the timely payment of each vendor.
Responsible for working with all government entities and to ensure up to date licenses and permits. Liaise with Constellation Brands to ensure all filing is consistent. Manage and organize office needs, record keeping and filing.
Shipping and receiving is a crucial responsibility of this role. Manage incoming and outgoing shipping/freight with FedEx, UPS and LTL shipping management and USPS Mail distribution in house. Facilitate the shipping needs of the marketing, P.R. and sales (see below).
Ensure that the office, reception and break areas at Nelson’s Green Brier Distillery are operating at optimal functionality by taking accountability around all incoming communication including:
Phones – facilitate the answering of all incoming calls on multi-line phone system including forwarding to appropriate departments and individuals. Work with CBI Communications and IT team to ensure welcome message and all directory information is up to date.
Email – Manage the response and flow of NBGD reception distribution lists.
Fax – Oversee Fax/Xerox machine, its functionality, maintenance and supplies
Manage information on distillery website and review sites including Yelp, Trip Advisor, Google and any other listings with distillery information listed.
Liaise with CBI Security Team on maintenance, camera footage requests, alarm system and access point/location zoning changes. Will also work with security and HR teams to manage all employee badges and building keys.
Manage all donation requests from different business units by vetting opportunities in conjunction with marketing leaders, fulfilling all requests as well as managing monthly donation request budget.
Work in conjunction with PR, Marketing and sales teams to:
Provide product, merchandise and content to Media, Press and Public Relation individuals. Maintains Inventory of items and collaborates to create gift packages. Coordinates and executes shipping and pick-ups.
Prepare and execute Market Launches/Events in new areas as we grow. Manage distribution by confirming counts, packing, load and wrap pallets, coordinates and executes shipping, freight and pick-ups. Assists in inventory management.
Manage and facilitate Competition entries and awards and updating the database as needed. Maintains inventory of product, Award accounts and Distillery information on Competition websites.
Ensure that our Market Representatives have all tools and product necessary to brand NGBD. Including arranging and meeting clients for pick-ups.

Must be able to move up to 55 lbs
