Provides support to the Vice President of Human Resources and the Human Resources team Incorporates HR concepts, practices and procedures into fulfilling job duties. Acts as a liaison for the HR team by responding to and directing associate’s questions and inquires about various HR policies and procedures. Escalates issues when unclear how to respond, or if request is outside of policy and procedure. KEY RESPONSIBILITIES
Conduct onboarding of Home Office and Online new hires. Ensure completion of I-9 process and upload all onboarding documents (VOE, signed job description, transcripts, etc.) to electronic personnel file. Ensure that all onboarding documents are signed and training complete. Serves as backup to the Campus Administrative Assistants for the onboarding process.
Manage the Associate of the Quarter Awards Program by soliciting Campus Presidents for nominees, verifying nominee for basic criteria, submitting to HR Regional Managers for approval and complete processing of nominees for each campus. Processing includes confirming nominee with Campus President, sending certificate and gift card for presentation on campus. Track winners and upload award electronically to personnel file after presentation
Manage Organizational Chart process scheduled updates six times yearly. Solicit changes, monitor completion of changes, and upload final to intranet. Post updates outside of timeline if needed.
Labor Law Posters - maintains compliance with federal, state, and local labor laws by providing and completing information on the hard copy posters for each campus and then mailing. Maintain current electronic versions on the intranet for remote employees.
Administer and execute routine daily and monthly tasks to include, but not limited to invoice processing, reconciling VP of Human Resources and departmental credit card, maintain associate electronic personnel file in the HRIS system, HRIS reports, etc.
Continually works on projects, assignments, or task forces as directed by the Vice President of Human Resources.
Responsible for transcript sign off from the Program Directors.
Post job requisitions, advertise positions, create offer letters as needed.
Manage the I-9 process.
File maintenance and directory updates.
Copy, scan, and email documents, as needed.
Provide general administrative support as needed.
Other duties as assigned.
Associate Degree preferred and two years of Human Resources support experience
Proven ability to handle confidential information, excellent communication and a customer-focused attitude are required
Must have excellent organizational skills, attention to detail, and be able to juggle and track multiple projects in a fast-paced environment with multiple interruptions. Works well under pressure
Strong analytical and problem-solving skills
Proficient with Microsoft Office Suite and the company’s HRIS system
