The Need

As IJM continues this trajectory of growth and scaling of its impact, the North American Region (NAR) President is seeking an organized and detail-oriented Executive Assistant to provide day to day clerical and administrative support to the NAR leadership team and division.

The Executive Assistant will have the ability to exercise superior judgment in a dynamic leadership environment, with strong written and verbal communication, administrative and organizational skills. The ideal individual will be able to thrive in a fast-paced, rigorous environment, steward a wide variety of activities and confidential matters with discretion, and partner with the NAR leadership team to balance competing priorities to maximize the productivity and effectiveness of the Regional President.

This position is based at IJM Headquarters in the Washington, DC metro area and reports to the Regional President, IJM North America.

Responsibilities

Provide Executive Support to the Regional President, North America


  • Provide daily support to the Regional President, North America as necessary;

  • Equip the Regional President, North America to participate fully in meetings through comprehensive preparation and briefing;

  • Attend certain meetings with the Regional President, North America and follow up appropriately when necessary;

  • Monitor and maintain the NAR Regional President’s professional calendar and inbox;

  • Prepare preliminary materials to enable the Regional President, North America to meet important deadlines;

  • Provide full support to the Regional President, North America for national and international travels, including hotels, flights, per diem, etc.;

  • Assist the Regional President, North America in effectively creating and managing the department’s budget; and

  • Assist the Regional President, North America in managing and tracking both North America Region and interdepartmental projects ensuring all deadlines are met within communicated timelines.

Provide Administrative Support to North America Region


  • Assist the division in managing and tracking major projects and initiatives;

  • Complete expense reports and payment requests in a timely manner for the Regional President, North America and department staff;

  • Assist in managing the North America Region department SharePoint Intranet;

  • Lead monthly communications meeting and accordingly disperse communications to both internal and external stakeholders on North America Region processes, rollouts, initiatives and policies;

  • Organize team meetings to ensure updates are communicated on project progress, staffing, department needs and deadlines, as well as to foster team morale and unity;

  • Take minutes during meetings, schedule follow-ups as necessary, record next steps and delegate responsibility of tasks;

  • Maintain awareness of North America Region schedules or any major conflicts while coordinating cross-departmental meetings;

  • Facilitate the engagement and onboarding of temporary hires, interns, contractors and new staff; and

  • Arrange North America Region staff retreats, as well as coordinate staff appreciation events and initiatives.

Requirements:


  • At least 3 years of experience in providing top-level executive support in a fast-paced, professional environment;

  • Bachelor’s degree in Business Administration or equivalent;

  • Proven record managing multiple projects simultaneously against competing priorities and to complete them with minimal oversight;

  • Excellent problem solving, planning and implementing skills;

  • Strong experience in MS Office (including Word, Excel, PowerPoint, Outlook, SharePoint, etc.); and

  • Knowledge of Salesforce, Workday, and Adaptive preferred.
