Company: Hitachi Particle Engineering and Services, Inc.


Division: Particle Therapy Division


Location: Rochester, MN


Status: Part-Time, Temporary-to-hire

Summary:

Hitachi Particle Engineering and Services, Inc. is looking for an experienced Office Administrator to provide daily document control and overall office support to the Particle Therapy Division (PTD) Service and Maintenance Organization office in Rochester, MN. The Site Office Administrator will report directly to the Site Service Manager and work closely with and support members of the Service and Maintenance team in all facets of the day-to-day operations. The Site Office Administrator will also report to the Sr. SMO Administrator for all administrative related processes.

Responsibilities include but are not limited to:


  • Support the Service & Maintenance Organization (SMO) Staff with administrative related activities as needed.


  • Import and Export coordination for the parts coming and out from the site.


  • Assist SMO management with inventory control and end-of-term inventory reconciliation.


  • Process orders and payments to vendors for spare parts, consumables, and office supplies


  • Provide coordination and support for the site operation and accounting processes.


  • Understand the importance of Quality Assurance, FDA and OSHA regulations


  • Control and update equipment calibration records.


  • Maintain accounting documents as directed by the management.


  • Maintain engineering documents as required by Quality Management System.


  • Assist SMO management in preparing documents and presentations as needed.


  • Assist new vendor set-up and other tasks from SMO management.


  • Support frequent interactions with the team in Japan.


  • Assist with special projects as required.


Requirements:


  • 3-5 years of experience working as an Administrative Assistant.


  • Must possess basic accounting knowledge.


  • Prefer Japanese bilingual but not required.


  • Organized and detail-oriented with an ability to work efficiently and manage multiple tasks.


  • Strong interpersonal skills.


  • Ability to work as part of a team.


  • Must possess professional verbal and written communication skills.


  • Able to follow directions from others.


  • Proficiency in Microsoft Office Suite (especially Word, Excel & PowerPoint)
