Fleet Administrator Job Description

The Fleet Administrator will assist with all aspects and process within the fleet department in support of the safe, effective, and efficient enterprise fleet.  Daily work includes maintaining records, completing forms or processes related to company policy, DOT compliance, safety or regulatory requirements as well a gathering information internally or from vendors in support of these tasks. Focused responsibilities will also include tracking and reporting status of fleet assets, as well as supporting users with the fleet maintenance tracking program(s), work order system(s), as well as telematics systems   

The ideal candidate will be detail oriented, recognize and adapt easily to change, a big picture thinker, and able to clearly and regularly communicate with the local team as well as remote operations.  He/she will have a high level of passion, intellect, drive and energy and will be a self-confident, team-oriented individual with ethics and integrity. This role will be reporting directly to the Fleet Director and will based out of our Field Service Office in the Cleveland, Ohio.

 

Key Responsibilities of our Fleet Administrator

Be an advocate for safety in all action and responsibilities. 

·      
Responsible for administration of users, reports, as well as communication related to issues with the telematic provider(s).

·      
Collect, track, process, and file or store as needed supporting documentations related to established company processes or approvals.

·      
Responsible for communicating and setting up delivery and scheduling of acquired assets from vendors or other parties as applicable.

·      
Work with the fleet team in support of asset acquisition/disposal process, gathering and entering data related to transaction into SCA specific database and/or in cooperation with accounting or procurement.

·      
Collect, transfer, and track data sent to our 3rd party vendor responsible for licensing, registration, titling, and other administration needs of the fleet.

·      
Communicate specific fleet needs as assigned to the fleet team members and/or field operations.

·      
Scheduling and generating reports on due dates from specific fleet systems.

·      
Work with other departments as needed to gather and/or provide fleet specific data required for business continuity.

·      
Clearly communicate and/or report on assessment in both verbally and in written form.

·      
The Fleet Administrator will report to and work out of our Cleveland office on a daily basis.

 

Qualifications and Experience for our 

·      
Proficient communication both verbal and written.

·      
Proficient in using the Microsoft Office suite programs.  

·      
High-energy, self-motivated, organized, and able to self-manage time and daily objectives.

·      
Proficient at working in highly complex organizations, working within a team to complete tasks in a defined timeframe leading to success.

·      
Experience with general fleet operations and administration a plus.

·      
Experience with operating and registering vehicles in multiple states a strong plus.
