HR Administrative Assistant at Express Messenger Systems, Inc in Commerce, California

Job Description:

Will act as a key member of the HR team, providing support for a number of HR functional areas and projects. The Human Resource Administrative Assistant is responsible for the administrative support of day-to-day human resource operations. 

Responsibilities:                                                                                            


  1. Maintain and contribute to a safe work environment by adhering to policies and procedures as outlined in the Company Safety Program.

  2. Ensures that new hires have completed onboarding and background checks prior to attending new hire orientation. May assist in conducting package handler hiring tours and ensures all interview guides and internal feedback forms are uploaded in the system.

  3. Conduct new hire orientations and Coordinates with supporting departments to ensure a positive first day experience.

  4. Prepare all documentation for new hires as well as completing all OnTrac processes to ensure compliance withI-9; employee badges; payroll/HRIS systems; id numbers, and, any state specific requirements. Upload documents accordingly to the employee’s electronic file.

  5. Reconcile monthly retention and attendance reports and facility specific bonuses to ensure proper and timely payment to employees.

  6. Performs general clerical responsibilities, such as: file maintenance; answering employee’s inquiries and send out termination packets.

Perform any other related duties as assigned or deemed necessary by the organization.

Minimum Requirements:


  • Two years administrative assistant experience, in the HR field highly preferred.

  • Bachelor’s degree in Human Resources or related field is preferred; or equivalent combination of both experience and education.

  • Incumbent must be model positive behavioral competencies to serve as a role model.

  • The ability to apply strict confidentiality rules to daily workload.

  • The ability to prioritize and complete tasks in a timely manner.

Organizational Relationship:

Assists and coordinates with Management to provide assistance regarding Tours, hiring events and new hire orientation classes.

Application:

Proficiency in Windows applications: Word, Excel, PowerPoint, HRIS and Payroll systems.  

Work Environment:

While performing the duties of this job, the employee will work in an office environment.  The noise level in the work environment is usually moderate.

Physical Demands:

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee is frequently required to sit, use hands to handle or feel, and reach with hands and arms.  Specific vision abilities required by this job include close vision and ability to adjust focus.  Occasional travel is required.
