Job summary

The Senior Human Resources (HR) Associate performs HR functional responsibilities under general supervision. The Senior HR Associate supports the HR department in carrying out various programs and procedures reporting to the Chief Human Resources Officer. The Senior HR Associate is involved in maintenance of HR data, HR Systems and Payroll coordination, HR data analytics and reporting along with other duties in a variety of HR functional areas, including Talent Acquisition, offer process, onboarding of new hires, leading orientation sessions, off-boarding processes, employment law compliance, learning and development initiatives, revamping and maintenance of HR website and project management of companywide HR initiatives. The Senior HR Associate is heavily involved in all colleague communications as well as communications between the HR function and other departments as it relates to new hires, terminations, employee changes, and other general issues. The person in this role will work closely with people in all levels across the organization.

Essential job functions and duties


  • Act as a primary point of contact for all HR systems, data, analytics, and reporting and ensure seamless coordination with Payroll.

  • Play a critical role in Talent Acquisition process by preparing offer letters for permanent and temporary colleagues; maintaining up to date job descriptions and facilitating internal promotions process.

  • Create and deliver engaging, informative new hire orientation materials aligned with INOVIO corporate values, vision, and mission. Coordinate and conduct new hire onboarding and orientation sessions, partnering with other HR colleagues and departments as needed.

  • Revamp HR website to engage and inform INOVIO colleagues with the most up to date HR information, colleague stories and highlights.

  • Assist with other HR matters as required, including issues relating to performance management, employee relations, legal compliance, training, worker's compensation, Cal-OSHA injury reporting, and other general duties.

  • Assist/lead with companywide HR projects and initiatives, such as Take Your Child to Work Day, the Internship Program, and other programs and events.

  • Perform general duties for the HR function, including termination processing, generating documentation for employment changes, obtaining necessary approvals, coordinating communication with other departments.

  • Maintain electronic and paper employee files, ensuring that employee information is updated and accurate.

  • Perform other duties as required based on business needs.

Minimum requirements


  • Bachelor's degree in Human Resources or a related field

  • Minimum of 5 years of directly related work experience; or the equivalent combination of education, training, and experience from which comparable knowledge, skills and abilities have been attained.

  • Strong skills in Outlook, Word, Excel and Power Point.

  • Ability to function in a fast-paced environment with consistently changing priorities.

  • Client Focus; strong sense of urgency while maintaining attention to detail

  • Excellent verbal and written communication/listening skills.

  • Strong team player

  • Individual should be detail oriented and proactive to be able to follow-through on projects and workflow requests.

  • Must work well independently and be able to maintain discreetness in maintaining confidential information.

  • A positive work attitude and a talent for multitasking are required.

  • Strong attention to detail and analytical skills are required.

  • Willingness to do whatever is needed; must be flexible and adaptable.

  • Prior HRIS experience including Applicant Tracking Systems preferred.

  • Working knowledge of employment law and HR practices.
