Job Summary:

Selected candidates will provide the appropriate data to the Government personnel to support Congressional inquiries, FOIA/Privacy AND WWII benefits requests, IAW MMS documentation and applicable references; provide draft responses to FOIA/Privacy ACT requests; research and respond to WWII benefits requests; provide draft responses using proper USCG correspondence procedures and specified formats; receive, route and track all division mail; prepare outgoing correspondence for mailing; enter data into MMLD

Responsibilities:


  • Receiving and categorizing requests from mail, email, fax, etc

  • Perfecting the request if necessary

  • Requesting control numbers

  • Detailed tracking all stages of correspondence request responses

  • Recalling and managing Mariner or other records required to craft the response

  • Scanning records as required

  • Record hours spent processing individual request

  • Direct contact with the requestor to clarify requests and/or provide/gather additional information pursuant to Government guidance. Processing FOIA Requests and Government oversight

  • Prepare draft justification memos and response letters

  • Recommending redactions

  • Forwarding requests for legal review

  • Preparing and routing package for review

  • Discrepancy correction

  • Processing fees

  • Mailing completed responses

  • Filing administrative copies of completed correspondence responses

  • Data entry as required

Minimum Qualifications: 


  • Must be able to clear a background investigation

  • Must be able to obtain a Public Trust clearance

  • Minimum of 2 years of experience as an administrative assistant, virtual assistant or office admin assistant

  • Experience using Microsoft Office Products

  • Experience using office equipment, like printers and fax machine

  • Minimum of a High School degree
