Job Summary

Coordinate all administrative support duties for the Region Leadership Team as needed. Regularly exposed to confidential information requiring discretion. Work from general policies and objectives under the direction of the regional president in coordination with HR Director. Refers questionable or unusual problems to supervisor for direction. Provides general office support with a variety of clerical activities and related tasks. Makes all travel arrangements and itineraries, as well as prepare the executive for scheduled and impromptu meetings.

Essential Functions


  • Provides high-level administrative support and assistance to the Executive and/or other assigned leadership staff. Organizes and schedules meetings, business travel, and program activities for the Executives.

  • Supports the executive team by performing all general office operations including drafting letters, memos, invoices, reports, and other documents for senior staff.

  • Support the Region Leadership with event planning/activity planning as needed: Arrange meeting rooms, lodging, air travel, meals, etc.

  • Supports Region Plant and Safety Managers by assisting with various reporting structures.

  • Arrange audiovisual equipment, set up meeting facilities, and maintains President's calendar.

  • Performs general administrative activities including organizing and maintaining filing systems, processing paperwork and expense reports, prioritizing, distributing mail, and taking phone messages.

  • Gathers material, and obtains documents and background information for reports and other purposes in accordance with specific instructions.

  • Supports office by using automated equipment such as facsimile machines, personal or networked computers, printers, copy equipment, voice messaging, electronic mail systems, and telephone equipment.

  • Maintains confidential database information such as Top 25, org chart, pricing, etc

  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.

  • Performs other related duties as assigned.

  • Required Skills/Abilities

  • Excellent organizational skills and attention to detail.

  • Extensive knowledge of office management systems and procedures.

  • Ability to operate general office equipment.

  • Excellent written and verbal communication skills.

  • Ability to type 60 words a minute.

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook. SAP experience is a plus. Advanced knowledge of office procedures and general office equipment

  • Ability to maintain confidential information.

  • Excellent verbal and written communication skills.

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

  • Excellent organizational skills and attention to detail.

  • Proficient with Microsoft Office Suite or related software.

  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.

Education and Experience


  • Associate degree in related field required, Bachelor's degree in Business Administration or related field preferred.

  • Prior related office experience preferred.

  • Two years of administrative assistant experience preferred.

Physical Requirements


  • Prolonged periods sitting at a desk and working on a computer.

  • Must be able to lift up to 15 pounds at times.
